About the role:

We are looking for a junior Office Manager / Administrative Assistant to support the day-to-day administrative and operational needs of our Mexico office. This role is ideal for an organized, proactive, and detail-oriented individual who is looking to gain professional experience in a fast-paced, professional services environment.

The position involves general administrative support, basic accounting and financial coordination, and office management tasks, working closely with internal teams and external service providers.

About your tasks and responsibilities:

Administrative & Office Support

  • Support daily office operations, including setting up meeting rooms and receiving visitors.
  • Assist directors and team members with calendar management, meeting invites, and general coordination.
  • Support travel arrangements and restaurant reservations when needed.
  • Help maintain office organization and ensure smooth day-to-day operations.

Accounting & Financial Support

  • Assist in coordinating with a third-party accounting firm for payroll, vendor payments, and tax-related processes.
  • Help prepare basic expense reports for the company and senior team members.
  • Support invoice tracking and documentation.

Accounts Receivable & Documentation

  • Assist with issuing, tracking, and organizing invoices.
  • Support client onboarding processes, including documentation and internal registrations.
  • Help maintain organized financial and administrative records.

Vendor & General Support

  • Assist in maintaining vendor information and agreements.
  • Support ad-hoc administrative tasks as needed.

Requirements:

Hard Skills

  • Bachelor's degree in Business Administration, Accounting, International Relations, or a related field.
  • 2-4 years of experience in an administrative, office support, or similar role (internship experience is acceptable).
  • Intermediate English proficiency (spoken and written).
  • Basic to intermediate knowledge of Excel and Microsoft Office.
  • Basic understanding of accounting concepts is a plus.

  • Strong organizational skills and attention to detail.
  • Good communication skills and a service-oriented mindset.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proactive attitude and willingness to learn.
