Responsibilities
Hexagon's Asset Lifecycle Intelligence division is seeking a Proposals Management Administrator to join our Americas proposal management team. If you are a detail-oriented document professional who thrives in a fast-paced environment and enjoys collaborating with technical teams, this is an excellent opportunity to grow your career. You will support account executives across South America and Mexico by preparing and coordinating key proposal documents, including Scopes of Work (SOW), Technical Proposals (TP), and Budgetary Estimates (BE).
Key Responsibilities
· Prepare and coordinate the development of SOWs, TPs, BEs, and related proposal documents using established templates.
· Prioritize and disperse incoming requests to appropriate technical resources and track progress through SharePoint, Salesforce or similar tools to meet established KPIs and SLAs.
· Work closely with technical, sales, legal, and finance teams to gather, validate, and update technical content, ensuring all proposal governance requirements are met and documented.
· Review and edit content for SOWs, TPs, BEs, validating for clarity, accuracy, and compliance with internal standards.
· Manage timelines and deadlines for multiple concurrent requests, communicating effectively with all stakeholders.
· Critically analyze and review potential risks that may impact the execution of services.
· Format and assemble final documents for release to customers, ensuring a professional and consistent presentation.
· Capture final proposals and relevant supporting documents.
Education / Qualifications· Ability to format and assemble documents to a high professional standard.
· Strong editing and proofreading skills for SOW and TP proposals, and related documents. Some writing may be required (limited).
· Some understanding of risk and the use of language in consulting services offers to help identify, address, and mitigate potential risks within the proposal.
· Skilled at prioritizing and managing multiple requests and deadlines.
· Effective communicator, able to coordinate with cross-functional teams to clarify requirements.
· Advanced spoken and written Spanish, Portuguese, and English are required.
Education / Qualifications
· Diploma or degree in business, marketing, technical writing, or a related field.
· Experience preparing proposals and technical documents, especially SOWs, TPs, and BEs for software consulting services.
· Proficient with Microsoft Office applications.
· Basic understanding of risk management.
· Experience with Salesforce or similar applications.
· Advanced spoken and written Spanish,and English, are required. Intermediate Portuguese.
· Familiarity with software and database terminology is an asset but not required.
