As a Credit Management Administrator for CEVA FM Mexico, based in Mexico City, you will play a crucial role within the Credit Management Division, supporting the Logistics - Finance SBU by ensuring timely and accurate billing processes that secure the company's revenue streams. Your commitment to upholding CEVA's core principles and values will be key to fulfilling the company's financial objectives and maintaining strong client relationships.
Key Responsibilities:
- Manage the end-to-end process of electronic invoicing (XML and PDF formats) for various CEVA Mexico entities, ensuring all customer billing is accurate and delivered promptly.
- Collect and organize necessary client documentation to support invoice reviews and initiate payment processes, including the preparation of client-specific required files.
- Ensure compliance with client requirements so that all invoices are eligible for timely payment, working proactively with internal teams and clients to resolve any issues.
- Maintain strict control over the dispatch of supporting documents and electronic invoices to clients, ensuring accuracy and completeness.
- Collaborate closely with the operations department to obtain operational support documents, facilitating smooth billing and collection activities.
- Regularly update and maintain the "Task Force" file, which contains customers' essential data required for invoicing and billing processes.
- Ensure adherence to corporate credit and collection policies and procedures, participating in their continuous improvement and documenting all processes according to internal standards.
- Monitor and track outstanding invoices to support efficient collections, coordinating with clients and internal teams to address any discrepancies or delays.
- Provide detailed reports and insights to Credit Management leadership to aid in decision-making and process improvements.
Additional Role Expectations:
- Act as a key point of contact between finance, operations, and clients to facilitate transparent and efficient communication.
- Contribute to building a collaborative and inclusive work environment aligned with CEVA's organizational culture and values.
- Continuously develop knowledge of industry practices, regulatory changes, and technological tools to enhance billing and collection processes.
Qualifications and Skills:
- Proven experience in credit management, billing, or accounts receivable roles, preferably within the logistics or finance sectors.
- Strong understanding of electronic invoicing systems and document management, including experience with XML and PDF invoicing formats.
- Excellent communication skills, able to liaise effectively with internal departments and clients.
- Detail-oriented with strong organizational and time management skills to handle multiple responsibilities effectively.
- Proactive in problem-solving and continuous process improvement, demonstrating initiative and adaptability.
- Proficiency in Microsoft Office, especially Excel, and experience with financial software and databases.
- Ability to work collaboratively in a diverse, inclusive, and dynamic team environment.
