CTG Latam, a leading renewable energy company, is seeking an Administrative Coordinator to join its Administration team in Mexico City. This role provides comprehensive administrative support to ensure the smooth and efficient operation of the office, working closely with multiple stakeholders while fostering a collaborative, inclusive, and high-performance work environment aligned with the company's values.
Key Responsibilitiesesta
Executive Committee Meetings (ECM), c
oordinate and manage Executive Committee Meetings (ECM) end-to-end, including:
- Scheduling and organizing ECM sessions.
- Hosting meetings and managing calendar invitations.
- Preparing agendas, materials, and supporting documentation.
- Moderating sessions to ensure effective discussion and alignment.
- Collecting required approvals, decisions, and signatures.
General Administrative Support:
- Support visa and immigration processes, including documentation preparation, progress tracking, and coordination with internal teams and external stakeholders.
- Provide administrative and logistical support to expatriates, including relocation coordination and ongoing assistance.
- Coordinate and manage meetings, calendars, and schedules in line with business and office requirements.
- Support the preparation of corporate reports, presentations, and meeting documentation, including drafting and organizing meeting minutes.
- Maintain accurate and up-to-date filing systems, records, and data rooms in compliance with company standards and internal policies.
- Assist in the planning, coordination, and execution of corporate events, internal activities, and cross-cultural initiatives.
- Collaborate with cross-functional teams to ensure efficient administrative workflows and effective communication.
Qualifications
- Bachelor's degree in Business Administration or a related field (required).
- Experience: Minimum of 2 years of experience in administrative roles.
- Experience supporting senior management or executive committees (preferred)
- Experience in a multinational or cross-cultural environment (preferred).
Skills and Competencies:
- Strong organizational and time-management skills.
- High attention to detail with strong follow-up capabilities.
- Excellent written and verbal communication skills.
