About the Role
We are seeking a highly organized, proactive, and bilingual
Executive Assistant
to support our CEO and COO in San José del Cabo. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be comfortable working with financial documents, coordinating travel, and assisting with Spanish-language tasks for our Latin American team.
Key Responsibilities:
Executive Support
- Provide direct administrative support to the CEO and COO, including calendar management, meeting scheduling, and follow-up coordination.
- Manage Brian's meeting schedule and ensure timely preparation of documents and materials.
Financial & Administrative Tasks
- Handle corporate expense reports, vendor invoices, and payment processing.
- Assist with cheque handling and perform account reconciliation for incoming revenue.
- Maintain accurate financial documentation and support the finance team as needed.
Spanish-Language & Localization Assistance
- Support Spanish-related tasks, including translation and communication with Latin American partners.
- Assist with onboarding and troubleshooting for Spanish-language platforms (e.g., supporting team setup on Webex for LatAm-based teams).
Travel & Logistics
- Coordinate domestic and international travel for the corporate team, including flights, accommodations, itinerary planning, and transportation.
- Anticipate travel needs and resolve potential issues proactively.
Data & Documentation Management
- Support data collection, organization, and filing for various company activities.
- Assist with preparation and submission of
KYC documentation
, importation paperwork, and other compliance-related files. - Ensure all records are accurate, complete, and up to date.
Qualifications
- 3+ years of experience as an Executive Assistant, Administrative Coordinator, or similar role.
- Strong bilingual communication skills in
English and Spanish
(written and verbal). - Experience handling financial documents, invoices, and expense reporting.
- High level of professionalism, confidentiality, and discretion.
- Proficiency with digital tools (Google Workspace, Microsoft Office, Webex, and other communication platforms).
- Strong organizational skills and the ability to multitask effectively.
- Experience coordinating travel and managing executive calendars.
Preferred Qualifications
- Experience working with multinational or Latin American teams.
- Prior experience with compliance, import/export documentation, or KYC processes.
- Familiarity with basic accounting or bookkeeping practices.
