We are seeking a Maintenance Coordinator who thrives in a structured environment, follows processes to the letter, and can confidently manage the lifecycle of a repair. This role is the heartbeat of our operations, ensuring that tenants are heard, owners are protected, and properties are maintained to the highest standards.
About the Role:
As the Maintenance Coordinator, you are the central point of contact for all property repairs. You will manage maintenance requests from intake to completion, acting as the liaison between tenants, property owners, and vendors. Your goal is to resolve issues efficiently while delivering a professional, seamless experience for all parties involved.
Key Responsibilities
- Request Management: Handle maintenance intake, gathering necessary photos, videos, and troubleshooting details from tenants.
- Triage & Urgency: Determine the urgency of repairs and escalate emergencies immediately according to company protocols.
- Owner Relations: Promptly notify owners of required repairs and obtain necessary approvals for work exceeding "not-to-exceed" limits.
- Vendor Coordination: Source, schedule, and follow up with vendors to ensure estimates are provided and work is completed on time.
- Quality Control: Verify job completion through photos, detailed invoices, and tenant feedback; track vendor performance and quality.
- Communication: Provide consistent status updates to owners and tenants via email and Podium.
- Documentation: Maintain meticulous records within our property management software, ensuring every work order has a clear paper trail.
- Process Enforcement: Strictly follow and enforce response standards and escalation procedures.
Qualifications & Skills
- Experience: Previous experience in property management, maintenance coordination, or vendor management is highly preferred.
- Organizational Mastery: You are extremely detail-oriented and capable of managing dozens of open work orders simultaneously without dropping the ball.
- Decision-Making: You are comfortable making calls based on defined processes and staying calm during high-pressure emergency situations.
- Communication Skills: You can speak the language of a contractor, the language of a concerned homeowner, and the language of a frustrated tenant with equal professionalism.
- Tech-Savvy: Proficient with property management software, texting platforms (Podium), and standard office suites.
- Clarity: Owners are informed of issues before they have to ask, and tenants know exactly when a vendor is arriving.
- Efficiency: Maintenance issues are resolved within target timelines with full documentation.
- Accountability: Vendors are held to high standards, and costs are kept within approved limits.
- Reputation: Your work directly increases owner retention and tenant satisfaction.
