We are seeking a highly organized and proactive Dispatch / Project Coordinator to join our team. This role will be responsible for overseeing and managing various projects across our service areas, ensuring efficiency, organization, and timely completion. The ideal candidate will have strong communication skills, background in dispatching, attention to detail, and the ability to coordinate multiple projects simultaneously.

Role and Responsibilities

As a Dispatch / Project Coordinator at Pivot Solutions, you will be at the forefront of our customer interactions, ensuring their experience is exceptional from start to finish. Your key responsibilities will include:

Customer Interaction: Communicate with customers in a friendly and professional manner, addressing inquiries, resolving issues, and providing information about our products and services.

Coordinating and Scheduling Appointments: Efficiently coordinate and schedule job appointments between field employees and clients, ensuring convenient routes that won't affect the logistics of our operations.

Order Entry: Accurately enter orders into our software system, ensuring that all details for specific jobs are recorded correctly.

Following Up with Clients: Maintain regular follow-ups with clients, providing updates on their orders and addressing any further needs they may have.

Placing Correct Orders: Ensure that correct orders are placed for specific jobs, guaranteeing the accurate fulfillment of client requirements.

Dispatch Coordination: The vital role of Dispatch Coordination involves working closely with our skilled technicians to ensure timely and efficient dispatch, resolving any scheduling conflicts. This position is integral to optimizing resource utilization, maintaining punctuality, and ensuring a seamless workflow, ultimately contributing to a well-organized and productive operation.

Record Keeping: Maintain comprehensive records of customer interactions, orders, and service appointments in our database.

Team Collaboration: Collaborate closely with the sales team, technicians, and management to ensure seamless customer experience and contribute to the company's overall success.

Project Management: Assist in planning, executing, and monitoring company projects across different departments, identify potential risks and provide solutions to keep projects on track, and support leadership in streamlining workflows and improving operational efficiency.

Requirements:

  • Proven experience as a project coordinator or dispatch roles, preferably in a related industry.

  • Excellent communication skills with a customer-centric approach, including proficiency in English.

  • Strong organizational abilities and attention to detail.

  • Ability to handle multiple tasks and prioritize work effectively.

  • Proficiency in using computer systems and customer support software.

  • Positive attitude and a passion for delivering exceptional customer experiences.

Remote Work Requirements:

Given that this position is entirely remote, it is essential for candidates to have access to the following:

  • A minimum of two monitors to facilitate efficient work processes.

  • A quiet and dedicated workspace conducive to productivity.

  • A reliable and high-speed internet connection to ensure seamless communication and task execution.

Education:

  • Bachelor's (Required)

Experience:

  • Dispatching / Project Coordinator role: 2 years (Required)

  • In Construction: 2 years (Required)
