The Office Admin role includes administrative tasks and support in areas of operations and sales. The role requires attention to detail, time management skills, a high level of confidentiality and constant prospect/client interaction.
**Basic Functions**:
- Administrative Duties:
- General Office:
- Help optimize and maintain office common areas.
- Performing general office manager duties and errands.
- Monitor office supply and snack levels and reorder, as necessary in both San Diego and Tijuana offices.
- Ensure all expense reimbursement requests follow the ITCM reimbursement policy.
- Maintain the petty cash fund in San Diego and Tijuana offices.
- Manage filing system, paper and electronic.
- Scan daily mail and file accordingly.
- Support general office needs in San Diego, Tijuana, and Philippines.
- Scheduling support:
- Assist the leadership team with daily management, scheduling, and coordination of their calendars.
- Assist in scheduling, coordinating, and planning internal company events.
- Assist in scheduling, coordinating, and planning external events.
- Sales & Networking support:
- Assist CEO with daily management, schedule, and coordination of his calendar.
- Assist in general sales and networking process including scheduling one-to-one networking meetings, sales meetings, client meetings and events.
- Attend in-person and remote meetings upon request. Ensure meetings are properly notated and any follow-up is completed.
**Knowledge, Skills, and/or Abilities Required**:
- Outgoing and friendly communication skills: such as telephony skills, communication skills, active listening and client care are a requirement.
- The ability to multi-task and adapt to changes quickly is required.
- Above average typing skills to ensure quick and accurate entry of service request details.
- Self-motivated with the ability to work in a fast-moving environment.
- Strong written, verbal, and presentation skills.
- Computer and operating system knowledge.
- Are results-oriented, self-motivated, energetic, professional, and reliable.
- Experience coordinating teams and clients is highly preferred.
**Educational/Skills/Experience**:
- BA/BS, not required but preferred.
- 3+ years of customer service.
- Experienced with full Microsoft Suite

**Salary**: $26,000.00 - $40,000.00 per month
