In this role as a Workplace Experience Associate, you will be managing front desk responsibilities and taking ownership of various administrative functions that span the entire office. This role will be responsible for greeting visitors, coordinating and scheduling travel, assisting with planning events, and overall keeping the office running smoothly.

**What You’ll Do**:

- Greet all visitors and alert relevant employees of their arrival, ensuring a welcoming and professional first impression.
- Oversees and supports daily administrative duties in the office to ensure that the office runs efficiently and smoothly.
- Coordinate with our Facilities team to manage office deliveries such as mail, lunches, and shipments, ensuring timely distribution to employees.
- Coordinates with Executive Admins, Talent Acquisition team, and Training to prepare for guests and visiting employees, ensuring a seamless onsite experience.
- Lead the planning, coordination, and execution of all GDL office events and employee engagement activities—from concept through execution. This includes seasonal events, recognition initiatives, cultural celebrations, and general engagement activities.
- Develop and manage event concepts, themes, communications, and schedules in alignment with organizational goals and budget.
- Act as the primary point of contact during events, proactively handling logistics, vendor coordination, setup, and on-the-ground troubleshooting to ensure seamless execution.
- Facilitate weekly syncs with internal stakeholders to align on upcoming engagement efforts and ensure consistent delivery across events.
- Collaborate closely with other departments (e.g., Marketing, Events & Engagement, ES, Leadership) to amplify awareness, drive participation, and maximize the impact of each initiative.
- Provide administrative support such as maintaining event calendars, tracking RSVPs, and managing event-related documentation.
- Manager Engagement: Support Arrive’s manager engagement initiatives through budget tracking, communications, manager check-ins, venue sourcing, and coordination.
- Liaises with the Facilities and IT departments to ensure optimal office functionality, including workstation setup, cleanliness, repairs, and safety protocols.
- Serve as the point of contact for general office questions and office-related problem-solving.
- Assist with cross-functional projects alongside the Marketing team and others as needed.

**Qualifications**:

- Minimum 1 year of consistent experience in an administrative, office coordination, or event-focused role.
- Outstanding communication skills, both verbal and written.
- Proven ability to work successfully in both individual and collaborative environments.
- Previous experience working with members of an executive team is preferred.
- Familiarity with Gmail and Google Calendar functionalities.
- Proficient in Microsoft Word, PowerPoint, and Excel.
