Job Description:
At Scale, we believe that AI will dramatically improve the world, and our mission is to accelerate the development of AI. To help achieve this mission, we are looking for an Office Coordinator to help support our operations team in Mexico

You will support the workplace in Mexico City by serving as:
**Reception**:

- Be the face of the Mexico City Scale office as you interact with visitors and employees at reception and ensure they have a positive, memorable experience.
- Ensure visitors are processed in a timely manner and work with security partners to issue badges in line with security procedures.
- Manage our sign-in system and notify hosts that their guests have arrived as needed.
- Keep the reception area presentable by organizing and cleaning the area throughout the day.
- Support the site security lead by monitoring the main entrance (security access point) and assisting with camera observation (as needed).
- Coordinate with security lead to maintain entrance coverage

**Workplace Coordination**:

- Quickly respond to any building repairs or maintenance issues that need immediate attention and work with the maintenance representative to close out these issues.
- Manage coordination of any office related repairs with the landlord and service providers.
- Keep office kitchens, restrooms and reception areas fully stocked and monitor inventory.
- Ensure conference rooms, kitchen and other common areas are tidy.
- Manage the ordering and restocking of office supplies.
- Manage office vendor services.
- Manage coordination of office lunch orders
- Manage issues with local parking to ensure personnel have access to the office and communicate issues to the parking lot owner.
- Coordinate all security process around the office according to local compliance (security brigades,earthquake drills, in office safety, etc)

**Project Manager**:

- Help organize events and create a sense of community in the office.
- Collaborate with the operations team to execute on projects such as vendor assessment and onboarding.
- Help organize the logistics for new hires (building access, arrival, booking conference rooms, office tour, etc).
- Office improvement projects

**Ideally you have**:

- Advanced English skills
- Strong attention to detail
- A bias towards action and a strong sense of urgency
- Excellent verbal and written communication skills
- Flexible mindset and able to navigate ambiguity with ease
- Able to work independently with mínimal supervision
- An ownership mindset with willingness to pitch in and help the team where needed

Work Location: Polanco, Mexico City
