This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. Key Responsibilities: - Manage executive calendars, schedule meetings, and coordinate travel arrangements - Prepare and edit correspondence, reports, and presentations. - Handle confidential information and maintain discretion. - Assist in the preparation of meetings, including agenda creation and minute-taking. - Coordinate and communicate with internal and external stakeholders. - Perform general administrative tasks including trip reimbursment, reservations, working with facilities and general planning. - Assiting any international travelers visiting Guadalajara with travel related questions, sugestions and processes. - Assisting HR with new employees onboarding to BMC Helix - Support special projects, initiatives and status tracking as needed. - Proven experience as an executive administrative assistant or in a similar role. - Excellent organizational and time-management skills. - Strong written and verbal communication skills. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Familiarity with communication tools (e.g., Slack, Microsoft Teams). - Ability to work independently and as part of a team. - High level of discretion and confidentiality. - Fluent in English (written and spoken) - Bachelor’s degree in business administration or related field preferred. - Preferred: 3-5 years of experience in an executive administrative assistant role.
