The Administrative Assistant _**_operates a multiline telephone system_**_ to answer incoming calls and directs callers to appropriate personnel. _**_Assists the Administration department in organizing company events, including the annual holiday party, summer picnic, and various dinners._**

**_Essential Duties and Responsibilities:_**
- _ Communicates with office management on any requisitions and/or outstanding projects._
- _ Assists the Administration department in organizing company events, including the annual holiday party, summer picnic, and various dinners._
- _ Notifies employees of upcoming birthdays and assists in arranging monthly birthday celebrations._
- _ Monitors inventory for all office supplies, including kitchenware, and orders supplies as needed._
- _ Maintains overall cleanliness and presentation of the office/kitchen(s) and coordinates with cleaning services as provided by building management._
- _ Coordinates with Human Resources during new hire orientation to provide employees with an ID badge, office pass, and desk name plate._
- _ Receives, sorts, and routes mail, and maintains and routes publications._
- _ Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary, and keeps them updated._
- _ Create delivery labels as required by different departments._
- _ Performs other clerical duties as needed, such as filing, photocopying, and collating._
- _ Access Badge control. Keep an updated file with the current stock and issue badges to employees._
- _ Billing and invoicing._
- _ Quotations for different services._
- _ Administrative support as required._

**_ Work Schedule:_**:

**_Qualifications:_**
- _ Proven work experience as a Receptionist, Front Office Representative, or administrative assistant._
- _ Proficiency in Microsoft Office Suite_
- _ Hands-on experience with office equipment (e.g. fax machines and printers)_
- _ Professional attitude and appearance_
- _ Advanced English level_
- _ Solid written and verbal communication skills_
- _ Ability to be resourceful and proactive when issues arise_
- _ Excellent organizational skills_
- _ Multitasking and time-management skills, with the ability to prioritize tasks_
- _ Customer service attitude_
- _ An associate’s degree and 1-3 years of related experience preferred._
