Responsibilities

The Opportunity

Provide executive administrative assistance to the Sr. Directors .

The Assoc Admin Assistant will provide business related support to the Leads PMF team in a well-organized, timely and confidential manner. The ideal candidate will have a high level of experience working with multiple managers & supervisors and be able to multi-task in a fast-paced environment.

Your Impact 

As Executive Sr. Administrative Assistance GM and Finance VP CARICAM your functions would consist of

Coordinate international travel arrangements (itineraries, tickets, transportation, hotel, and car rentals). Submit expense reports timely and accurately, maintaining all documentation according to control guidelines Follow-up of emails and calls to be answered Execute AMEX reports for Sr. Directors, and support.. Responsible for the Director’s agenda, placing sessions, making the necessary adjustments and review with hims/her to notice priorities and keeping her/him on track regarding their daily commitments. Handle schedule clashes. Schedule and Coodinate montlhyTeam Connects, including content and presentation/ materials Support and prepare special presentations for the Directors agenda (speechs, career meeting, etc) Maintain calendars and schedules for on and offsite meetings/events Maintain organization charts and contact list Ensure local invoices are paid timely, accurately and the with the proper approvals using myBuy, Concur or Amex Plan, control and organize dufferent events in different LATAM locations ( off-site meetings, celebrate success meetings, planning sessions, etc.) events in Guatemala and abroad. Phone call screening and scheduling of conference and video communications. Support in different administrative processes to Finance Leads Sr. Directors, like create purchase orders for vendors, forllow up on Accounts receivables, follow up on workflow approvals Support Administrative Services for an efficient office operation Maintain a high level of integrity and professionalism in handling confidential matters and materials Work on special projects as needed Qualifications

¿Who Are We Looking For? 

Expert knowledge and experience in Microsoft Office for Windows; including the ability to create and manipulate spreadsheets and presentations for high level review Ability to prioritize work and multi-task with a strong sense of urgency Must embrace change and welcome new ideas and projects Commitment to excellence in customer service; ability to work with minimal supervision and feel comfortable making decisions with little managerial input Outstanding organizational and follow-up skills including sensitivity with confidential information Proficient written and oral communications skills and the demonstrated ability to clearly, concisely, and persuasively communicate oral and written messages consistent with company policy to both internal and external audiences, using appropriate tone, grammar, and word usage. Excellent data entry and clerical skills, including 10-key and computer keyboard skills, proficiency in using financial information system applications, basic math skills (addition, subtraction, multiplication, division), and ability to operate common office equipment (, fax machine, photocopier, telephone). Respects & values differences, acts with integrity, and operates with justice Demonstrates the desire and ability to develop new technology skills, business knowledge, and customer service capability through training, experimentation, and self-study  Provides outstanding customer service skills to direct and indirect customers  Ability to prioritize own work under general supervision Proficient in written & spoken English and Spanish English is a must
