Overall purpose of roleThe AVP Office Manager is responsible for the efficient functioning and office through a range of administrative, financial and managerial tasks.Key Accountabilities- Responsible for planning client’s event, including Events & Roadshow and Creative Services.- Responsible of the Sustainability Committee according to the global ESG standards and following the guidelines of the ABM- Control and management of suppliers for the Bank according to Sourcing and Supplier Management including risks assessments, recurrent controls and providing front line coverage to Sourcing Audits and Regulatory reviews, addressing issues identified.- The role will need to implement the reconciliation reports of supplier registry vs SAP records and the validation of supplier according to the Mexican Sole Circular of Banks.- Responsible of the Quarterly Review of suppliers according to CUB.- Provide support to the Corporate Real Estate Services with regards to facilities management, managing the relationship with landlord and leading office projects.- Management and main contact for Civil Protection and Health and Safety processes facing the Ministry of Labour and Social Welfare.- Responsible for the provision of support to the Corporate Real Estate Service with regards to facilities management. Manages the relationship with building landlord and leads office projects. The main contact and responsible for Corporate Communications.- Management the office access, in coordination with Global Corporate Security being the main contact for Corporate Security and coordinates tasks with this team. Responsible for the report and management of Access and Security systems to the Americas Building Assurance team.- Management of the building access with Torre Mayor, including parking spaces, courtesy parking tickets, office remodelling, among others.- Management of office facilities (services, supplies, insurances policies, newspapers management, petty cash administration).- Coordination for the administration of the insurance for the office and company car insurance.- To comply with local requirements this role coordinates and has the main contact for Civil Protection and Health and Safety processes facing the Ministry of Labor and Social Welfare and coordinate the evacuation drills with the IT team.- Point of contact with ISS and support in conjunction with the Facility Manager on the reception management, technicians and cleaning staff (onsite personnel of the outsourced facility management ISS - 10 persons).- Responsible for the local security supplier (MIURA), the physical storage supplier (Release) and the public relations agency (Carral Sierra).- Coordination of messenger services and support of driver’s coordination (2 drivers and 1 messenger).- Management of utility vehicles (fuel supply, vehicular procedures, etc.)- Point of contact with Telcel for the telephone lines of drivers and messenger.- Point of contact with Physical Security for the Bi-annual tests and quarterly reports of access control and by means of OneCert.- Newspapers management.- Quarterly report of SPEI with regards to material resources.- Support with administrative related task involving the office and the CAO
