We're seeking an Operations Virtual Assistant to support a California-based landscaping company by managing daily administrative operations, client communication, and system upkeep across CRM, scheduling, and payroll tools.As the operational backbone of the business, you’ll keep schedules accurate, records organized, and customer communications running smoothly. You’ll work directly with ownership to ensure each day starts with clarity and ends with results.**Key outcomes**:- Maintain and update daily crew schedules and job records in Google Sheets and LMN.- Process time logs and prepare accurate payroll data for ADP submission.- Support CRM data entry and tracking in HubSpot for ongoing customer engagement.- Anticipate needs, provide proactive updates, and ensure no administrative detail is missed.- 2+ years in administrative operations; experience with CRM tools (HubSpot preferred); advanced English proficiency; available 9 AM-5 PM PST.**Requirements**:- 2+ years of experience in administrative or operational support roles- Hands-on experience with mainstream CRM platforms (HubSpot preferred)- Strong proficiency in Google Sheets for data tracking and reporting- Experience supporting scheduling and payroll preparation processes- Reliable computer, wired internet (minimum 25 Mbps), and backup connectivity- Availability to work 9 AM-5 PM Pacific Time, Monday-Friday**Benefits**:- Competitive pay: USD $1,000-$1,200/month (DOE)- Paid time off and wellness leave through HireHawk’s contractor benefits program- Professional development and ongoing recruiter support- Stable, long-term role with consistent U.S. client exposure- Work-from-home setup with predictable, daytime Pacific hoursWhat Happens After You Apply?- Our recruiter team reviews your responses within 24-48 hours.
