Executive Operations & Virtual Assistant Join Ottomatik.io as an Executive Operations & Virtual Assistant and support our Founder and President in a global risk advisory firm. Job Summary You will act as a strategic extension of the Founder, ensuring operations run smoothly, priorities advance, and all communications reflect the firm’s voice and standards. This role combines executive operations, systems management, and thought‑leadership support, suitable for someone highly organized, intellectually curious, and comfortable working closely with senior leadership in a fast‑paced, globally distributed environment. Core Responsibilities Coordinate meetings with senior executives, partners, regulators, academics, and investors. Manage and triage email and communications, prioritize and draft responses when appropriate. Prepare briefing materials before meetings, track follow‑ups and action items. Support day‑to‑day execution of Founder priorities. Track tasks, deadlines, and deliverables across multiple initiatives. Maintain and optimize operational systems (Notion, shared drives, trackers). Ensure documents and materials are well‑organized, version‑controlled, and easy to access. Proactively follow up with stakeholders to keep initiatives moving. Draft first versions of blog posts, LinkedIn posts, and thought‑leadership commentary. Convert rough notes, voice memos, or verbal directions into structured drafts. Conduct background research to support content accuracy and relevance. Incorporate edits and feedback efficiently; all final content remains Founder‑approved. Format, proofread, and finalize decks, one‑pagers, proposals, and executive correspondence. Support preparation of presentations and executive‑facing materials. Schedule and manage LinkedIn and select external communications. Coordinate updates to simple digital assets (bios, event pages, profiles). Conduct targeted research on regulatory developments, industry trends, partners, and events. Assist with logistics for webinars, executive forums, and international initiatives. Handle sensitive information with discretion and sound judgment. Represent the firm professionally in all written and external communications. Maintain confidentiality, protect intellectual property, and ensure brand consistency. Key Qualifications Strong execution and organizational skills; details do not slip. Comfortable drafting professional, high‑level content under direction. Background or exposure to compliance, legal, risk, governance, policy, finance, or professional services strongly preferred. Comfortable working directly with a Founder and senior‑level stakeholders. Self‑directed, resourceful, and able to manage ambiguity and shifting priorities. Technical Fluency Mailchimp, Google Workspace, Outlook, Zoom, Slack, Notion, LinkedIn, Canva (or similar).
