As we scale, strong revenue operations systems, clean data, and AI-ready infrastructure are critical to supporting Sales, Marketing, and Customer Success. To support our next phase of growth, we’re hiring a Revenue Operations Systems Administrator to help maintain, operate, and evolve the systems that power our go-to-market and customer lifecycle. The RoleWe are seeking a detail-oriented, systems-minded Revenue Operations Systems Administrator to help operate, maintain, and evolve the systems that power Clearstory’s go-to-market engine. This role will support the success of our revenue systems and processes, with HubSpot at the center and tightly integrated tools including Gong, CPQ/document automation (PandaDoc), data enrichment and orchestration platforms (ZoomInfo and Clay).
You will ensure these systems work together cleanly, reliably, and at scale across our go to market teams. You will partner closely with the Head of Revenue Operations and GTM leaders in the U. S. to maintain system health, enforce data standards, ensure process documentation and adherence, and continuously improve automation and workflows as the business grows. This position is well-suited for someone who enjoys structured systems work, operational rigor, clear ownership, and being accountable for both system reliability and documentation quality.
What You’ll OwnRevenue Operations Systems AdministrationServe as a day-to-day owner and administrator of HubSpot CRMAdminister and support core connected revenue systems, including:Gong (conversation intelligence and CRM sync)CPQ and document automation tools such as PandaDocData enrichment and orchestration platforms such as ZoomInfo and ClayMaintain and configure:Contacts, Companies, Deals, and Tickets (as applicable)Properties, property groups, and schemasPipelines, lifecycle stages, and associationsOwn system access, permissions, and seat provisioning across revenue toolsSupport testing, QA, and safe deployment of system changesEnsure systems remain stable, scalable, and easy to use as the company growsMaintain clear, well-organized documentation covering:System architecture and data flowsKey workflows and automationsField definitions, schemas, and naming conventionsChange logs and release notes for system updatesAutomation, Workflows & Core ProcessesBuild, maintain, and monitor workflows across HubSpot and connected systems to support:Data hygiene and normalizationLifecycle stage updates across Sales and Customer SuccessRouting, ownership assignment, and notificationsDeal progression and CPQ/document workflowsTroubleshoot workflow failures, sync issues, and automation errorsDocument workflows and integrations clearly, including purpose, logic, dependencies, and known edge casesMaintain workflow documentation and change logs to support long-term scalabilityData Hygiene, Governance & QualityOwn data cleanliness, consistency, and structure across the revenue stackDefine and enforce standards for:DeduplicationRequired fieldsNaming conventions and formattingMonitor and validate inbound data from:Web formsProduct data integrationsGong, PandaDoc, ZoomInfo, Clay, and other third-party toolsPartner with data stakeholders to ensure reliable data flow between product and GTM systemsProactively identify, investigate, and resolve data quality issuesSupport territory, ownership, and account hierarchy managementDocument data standards and governance rules to ensure consistent usage across teamsAI & Advanced AutomationPartner with the Head of Revenue Operations to prepare and maintain data architecture that supports AI-driven use casesPrototype and deploy AI-assisted workflows for:Segmentation and enrichmentLead and account scoring supportData normalization and classificationEnsure CRM schemas, fields, and workflows are structured to support:AI-assisted analysisAutomation and orchestration toolsFuture AI-enabled workflows across Sales, Marketing, and Customer SuccessDocument AI-assisted workflows and assumptions to ensure transparency and maintainabilityMarketing, Sales & Customer Success Systems SupportSupport defined marketing operations tasks in HubSpot, including:Building lists and segments from documented criteriaSupporting email nurtures from approved specificationsManaging forms and campaign trackingAct as a systems support partner for Sales and Customer Success:CRM and workflow troubleshootingData cleanup and field updatesOwnership, pipeline, and territory adjustmentsReduce friction and manual work for customer-facing teams by ensuring systems behave predictably and are well-documentedWeb, CMS & Tracking SupportSupport website CMS administration as it relates to GTM data captureSupport Google Tag Manager and Google Analytics integrationsMonitor form submissions, conversion tracking, and downstream data flowCollaborate on custom tracking, event instrumentation, and validationEnsure accurate data flow from website → HubSpot → reportingDocument tracking implementations and data definitionsFoundational Reporting & System MonitoringMaintain baseline HubSpot dashboards and reportsMonitor system health indicators, including:Data completenessWorkflow and sync errorsRouting and ownership accuracySupport ad hoc data validation and operational reporting requestsPartner with RevOps You Are3+ years of hands-on experience in Revenue Operations, with a strong focus on HubSpot CRM administration, configuration, and workflowsDeep experience working directly in HubSpot as a system
