Provides administrative and clerical support to teams, departments, functions, or locations. Works under general instruction and takes input from employees and systems to create documents, reports, and requests for information. Arranges basic travel itineraries, handles electronic and telephonic correspondence, schedules and coordinates meetings, manages and maintains systems and collects data to prepare reports.

ESSENTIAL RESPONSIBILITIES:

Phone & Written Correspondence (35%)

Answers and screens phone calls with some customer interaction.Handles incoming correspondence for routing.Reviews outgoing materials and correspondence for consistency, accuracy, and conformance with policies and procedures.

Project Coordination (20%)

Assists with revisions or improvements to standardized forms and filing systems.Supports the implementation of simple improvements of work processes/procedures and owns results.

Meeting Coordination (15%)

Arranges meetings and handles meeting logistics, including collecting information and time availability from participants, reserving conference rooms, and arranging for refreshments.Attends and records notes for meetings as needed.

Data Management (10%)

Manages and maintains external/internal systems/portals respectively.Maintains electronic files and paper contracts as required.

Reporting (10%)

Collects basic data and prepares reports as directed.Selects relevant information from a variety of sources such as reports, documents, and correspondence.

Material Production (10%)

Generates materials needed for conferences, correspondence, appointment, meetings, and telephone calls.

EDUCATION AND EXPERIENCE:

Required Degree: High School diploma or equivalentYears of Experience: 2-4 years
