Administrative Assistant/scheduler

Green Attic is one of the top insulation experts in Chicago, USA. We are looking for a professional virtual assistant who is able to help with the Production department, largely dealing with managing a crew of 30+ workers.
This is a 100% virtual position, you can work from home. The working hours are flexible, ranging on Mon-Fri, between 6:00 am - 6:00 pm Chicago Time (Central Time Zone) depending on need. Saturday availability as needed.
Duties include:
- Phone calls to workers, clients, and teammates
- Communication with workers and teammates via Google Chat + Gmail
- Confirm completion of jobs in Jobber and closing them in the system
- Reading and understanding insulation contracts and answering questions the crew has
- Managing crew leaders to hold them accountable for their tasks (making sure they: clock in and out correctly, send an ETA message to the clients, send pictures in the chats, list what was completed and what is remaining in the project, etc.)
- Scheduling new client projects on the calendar
- Check on unfinished jobs rescheduled or remind the client of upcoming visits
- Assign the crew teams to projects 3 days in advance
- Monitoring if the last crew locked the warehouse and turned off all lights and machines
- Tracking strikes against crew members and reporting deductions in their bonuses
- Managing company records
- Working with other virtual employees on a variety of projects
Qualifications:
- Fluency in both English and Spanish is required
- Reliably fast internet connection required
- Proficient skills in scheduling, writing, and organizing administrative tasks
- Demonstrated experience with Google Workspace, and willingness to learn new software is a must
- Bachelor's Degree and/or 3+ years of prior experience in an administrative role
- Experience in the construction industry is a plus
- Experience supporting a team of 10+ preferred
- Experience in Jobber is a plus
Pay: $150.00 - $180.00 per hour
Expected hours: No less than 40 per week
