**The Role**

As an Executive Assistant, your day-to-day will revolve around supporting our founder to be their most effective and efficient. Here’s what a typical day might look like, along with some less frequent but crucial responsibilities:
**Calendar and Schedule Management** You will orchestrate the complexities of our founder’s schedule, making sure they can focus on strategic decision-making without the hassle of logístical tasks and messages. This includes prioritizing and rescheduling meetings as necessary, ensuring that all appointments and deadlines are met.

**Communication Facilitation** Acting as the gatekeeper to our founder, you’ll manage their communications, ensuring information is passed along accurately and promptly. You will draft correspondence, prepare responses to urgent requests, and filter and prioritize incoming communications.

**Meeting Coordination** You’ll set up and coordinate meetings, both virtual and in-person, preparing agendas and taking minutes to ensure follow-ups are clear and actionable. This includes liaising with participants, managing venue arrangements, and ensuring all necessary materials are prepared.

**Document Handling and Preparation** From reports to presentations, you’ll handle documents with care, ensuring they are accurate, up to date, and ready for executive review. You’ll also prepare and proofread high-stakes documents and correspondence, ensuring consistency and professionalism.

**Project Support** You’ll play a key role in special projects, offering both administrative support and insightful contributions. This may involve conducting research, preparing reports, and tracking project milestones to ensure timely completion.

**Event Support** You’ll register our founder for in-person industry events, schedule flights, book ground transportation, and organize daily agendas. Additionally, you’ll support their efforts at the event, including managing event logistics and acting as a point of contact.

**Personal Support** Our founder will benefit from your help scheduling personal events, booking domestic services, making travel arrangements, and setting reservations. This includes managing personal appointments and coordinating with vendors.

**Quarterly or Annual Tasks** These might include organizing corporate retreats, coordinating group meetings, and participating in strategic planning sessions. You will be engaged with the broader vision of the company, ensuring that these events align with our strategic goals.

**Required Software and Tools**
Experience with Slack, Google Workspace, Asana, Todoist, Dropbox, Docusign (or similar), LinkedIn, and Sales Navigator (LinkedIn) is required.

**Expected Work Schedule** The role is based in the US, ideally working within Pacific Time, Mountain Time, or Central Time zones. Normal business hours (9am-5pm) are expected, with some flexibility to adjust earlier or later if needed (rarely).

**Salary Range**
$2,000 to 2,500 USD Monthly

**Proven Administrative Excellence** You’re amazing at what you do, with a background that demonstrates your ability to manage executive schedules, prepare detailed reports, and support day-to-day operations so smoothly that it feels like magic. Experience in high-stakes environments or with C-suite executives is a plus.

**Communication Skills** With your outstanding written and verbal communication skills, you can represent our founder professionally to all internal and external stakeholders. It’s crucial that you convey our brand’s values and message clearly and effectively.

**Technological Proficiency**You’re skilled in MS Office and modern digital tools, able to handle any tech setup or troubleshooting that comes your way. Experience with project management software and communication platforms is advantageous.

**Organizational Abilities** Your organizational skills are second to none, allowing you to juggle multiple priorities without missing a beat. You can anticipate needs and act proactively to ensure all tasks are completed efficiently.

**Discretion** Given the sensitive nature of your role, confidentiality and discretion are paramount. You will handle confidential information with the utmost integrity and professionalism.
