Work under direct supervision within the Human Resources & Administration team in Mexico to assist with the execution of a variety of tasks such as onboarding, data entry, invoice processing, service award coordination, fleet coordination/gas card program, employee files/filing, record retention (NDAs/Contracts), office events, and communications.
**POSITION DUTIES AND RESPONSIBILITIES**
**Essential Functions**
**Human Resources**
- Assist New Hire orientations in Mexico and communicate schedules to affected departments/presenters.
- Coordinate ordering and distribution of birthday gift cards, birthday cards and anniversary announcements for the employees in Mexico and Hispanic America.
- Communicate and escalate issues that arise to appropriate HR Team members as needed.
- Create and maintain employee files in Mexico, keeping up with regular filing and periodic audits.
- Monitor the return of company owned equipment from exiting employees and maintain inventory of company tools.
- Knowledge of employee benefits including medical/life insurance coverage.
- Support HR team in equipment/collateral logistics for job fairs or training functions in Mexico.
- Assist in ad-hoc HR projects, such as soliciting employee feedback and survey responses.
**Administration**
- Assist with Car Fleet management (Gasoline Cards, mileage tracking, Insurance, car service, etc.)
- Order and maintain gas card program for company drivers in Mexico.
- Assists to obtain invoicing (facturas) for Concur and SAT compliance.
- Assist with the coordination of business meetings and events, such as room accommodation, breakfasts/lunches planning, and supplies necessary for event.
- Perform other job-related duties as assigned.

**ESSENTIAL EDUCATION, SKILLS, AND EXPERIENCE**
- Degree or equivalent work experience
- Excellent time management skills with a proven ability to prioritize tasks and meet deadlines
- Working understanding of human resource principles, practices, and procedures
- Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
- Experience planning programs for internal communications
- Good telephone personality and customer service skills
- Ability to multi-task, i.e., enter data while communicating on phone
- Detail orientated
- Ability to exercise discretion to maintain confidentiality
- Strong verbal and written communication skills (English and Spanish)
- Excellent organization and time management skills
**BENEFICIAL EDUCATION, SKILLS AND EXPERIENCE**
- Bachelor’s Degree (or pursuing) in Human Resources Management or Business Administration
- Previous experience in HR, with demonstrated knowledge of current employment regulations, human resources and talent acquisition trends and best practices.
