The successful candidate will have a proven track record in project management, supplier relationship management, and office technology.
Key Responsibilities
* Supervise receptionist and reception activities, including switchboard, messengers, and visitor security
* Manage mailroom functions, ensuring incoming parcels and letters are delivered daily and outgoing mail is stamped and delivered to the postal service
* Oversee and administer Records Retention for this location, ensuring compliance with CBI corporate policy
* Manage small package shipping, ensuring the Company's compliance and tracking savings
* Process office supplies, including ordering and inventory management
* Select and oversee vending supplier and services in this location
* Manage and order business cards and stationary
* Research and select cleaning supplier to maintain the office space
* Assist with the maintenance of the office video surveillance system
* Administer, oversee, and issue building/suite security cards to the Company's office space
* Create and manage the Company's Corporate Emergency Plan for Mexico City location
* Process office space related invoices for payment
* Work with Human Resources on the compliance, stocking, and reservations of the Company's Mother's room
* Provide US Facilities team with intra-net content for this location
* Assist HR in the seating assignments/placement of new hires and terminations within the space
* Manage all supplier/vendor relationships
* Serve as the Company's ergonomic SME and coordinate all ergonomic-related issues to completion
* Aids VP, Facilities Management and Finance in preparing and managing annual budget for Mexico City office space
Requirements
* A Bachelor's Degree
* Proficiency in English and Spanish is required
* A minimum of 5 years' work experience in facilities and/or office management, as well as technology and supplier relationship management
* Excellent written and oral communication skills
* Ability to work well with all levels of internal personnel and external business associates
* Strong team and service orientation
* Ability to handle confidential and/or sensitive information in a professional manner
* Excellent quantitative and analytical skills
* Ability to make decisions independently and recommend viable solutions to problems and issues
