Job Summary

We are seeking a highly organized and detail-oriented Project Coordinator to join our Global Project Operations Team at Alight. As a key member of our team, you will assist project managers with day-to-day responsibilities, ensuring the smooth execution of projects and supporting the delivery of high-quality results.

Key Responsibilities
  • Support project managers with project oversight and administration, including internal and external status reporting, tool management, meeting scheduling, and financial management.
  • Manage project information within relevant tools, including contact lists, org charts, and project dates.
  • Assist project team members in using project tools, including Smartsheet, MoveIt, and SharePoint.
  • Support project closure, archiving project tools and documents, and ensuring project financial processes are smooth.
Additional Responsibilities
  • Support the development of project management deliverables, such as Kick Off decks, Stage Sign-Offs, and documentation of Lessons Learned.
  • Assist with scheduling meetings, taking notes, and actions.
  • Take responsibility for selected project activities related to resourcing, financial processes, and forecasting.
  • Support the monitoring of testing defects, running reports, and chasing actions.
Support to the Alight Project Practice
  • Support improvements to PMO tools and templates.
  • Support training of team members on project management tools, including HR IT Projects.
  • Support portfolio reporting, including month-end production of reporting packs.
  • Support lessons learned process.
  • Play an active role in continuous improvement of methodology guidance notes.
  • Provide administration support to the PMO/Portfolio Leads.
  • Provide cover for Project Coordinators in other locations.
  • Maintain Project Coordinator team standard operating procedures.
  • Support practice-wide improvement initiatives.
  • May act as a buddy to new Project Coordinators.
Requirements
  • Bachelor's degree or equivalent years of work experience.
  • Strong knowledge of MS Office Suite, especially Excel.
  • Basic understanding of Project Management governance, processes, and tools.
  • Analytical skills, able to work with project and financial information.
  • Fluent English skills (C1 at minimum if not a native speaker).
Preferred Qualifications
  • Basic knowledge of Smartsheet, MS Project, MS Visio, or similar software.
  • Basic SharePoint administration skills.
Work Experience
  • Experience working in a virtual team-oriented, collaborative, multinational environment.
  • Experience preparing reports, presentations, and coordinating meeting logistics.
  • Excellent spoken and written communication skills.
  • Experience working in busy environments balancing multiple tasks.
