About the Role

We are seeking a highly organized and detail-oriented Office Administrator to join our team at Redwood Logistics in Monterrey, Mexico. As an Office Administrator, you will play a critical role in ensuring the smooth operation of our office, providing administrative support to our business units, and contributing to the overall success of our organization.

Key Responsibilities
  • Coordinate and manage office operations, including facility management, repairs, and safety measures.
  • Develop and maintain reports for stakeholders on facility management, repairs, and safety measures.
  • Project manage buildouts and new construction in assigned spaces.
  • Manage parking spots and guest parking requests, as well as badge access.
  • Conduct daily checks of common areas, including conference rooms, and maintain inventory as needed.
  • Support U.S. visitors with travel, transportation, and meal reservations.
  • Work with business unit leaders on training requirements and process improvements.
  • Update job descriptions and performance expectations for each function.
  • Understand business laws and regulations in Mexico and work closely with HR on hiring and termination of employees.
  • Develop, manage, and report KPIs for each business function.
  • Support commercial needs, including lead development and customer support.
  • Activate, update, and deactivate company security key cards.
  • Travel to Chicago as required to work with stakeholders.
Requirements
  • Bilingual in Spanish and English.
  • 1-3 years of experience in an administration or reception function in an office environment.
  • Strong ability to prioritize multiple assignments and projects.
  • Effective communication skills, both written and verbal.
  • Demonstrated proficiency with Microsoft Outlook, including PowerPoint, Word, and Excel.
  • Proven ability to manage upwards and influence across different teams.
  • Detail-oriented and extremely organized.
  • Exercises discretion with confidential and/or proprietary information/data.
  • Flexibility to adapt quickly to changing business needs.
