Key Responsibilities- Coordinate and manage office operations, including facility management, repairs, and safety measures.
- Develop and maintain reports for stakeholders on facility management, repairs, and safety measures.
- Project manage buildouts and new construction in assigned spaces.
- Manage parking spots and guest parking requests, as well as badge access.
- Conduct daily checks of common areas, including conference rooms, and maintain inventory as needed.
- Support U.S. visitors with travel, transportation, and meal reservations.
- Work with business unit leaders on training requirements and process improvements.
- Update job descriptions and performance expectations for each function.
- Understand business laws and regulations in Mexico and work closely with HR on hiring and termination of employees.
- Develop, manage, and report KPIs for each business function.
- Support commercial needs, including lead development and customer support.
- Activate, update, and deactivate company security key cards.
- Travel to Chicago as required to work with stakeholders.
- Bilingual in Spanish and English.
- 1-3 years of experience in an administration or reception function in an office environment.
- Strong ability to prioritize multiple assignments and projects.
- Effective communication skills, both written and verbal.
- Demonstrated proficiency with Microsoft Outlook, including PowerPoint, Word, and Excel.
- Proven ability to manage upwards and influence across different teams.
- Detail-oriented and extremely organized.
- Exercises discretion with confidential and/or proprietary information/data.
- Flexibility to adapt quickly to changing business needs.
