HeadQuarters is an innovative start-up collaborating with US cannabis enterprises to deliver comprehensive support in finance, sales operations, and logistics. We are currently in search of a Receivables Management Specialist to enhance our expanding accounting division.
As a Receivables Management Specialist at HeadQuarters, your primary responsibilities will include overseeing and tracking our receivables, generating and processing invoices, and ensuring timely receipt of all payments.
The ideal candidate will possess a keen eye for detail, exceptional organizational skills, and a solid foundation in accounting principles.

The working hours for this position are 9 am - 5 pm PST.

Key Responsibilities
  • Retailer Engagement - maintain consistent communication with retailers and foster positive relationships by providing invoice summaries, sharing account balances, and coordinating timely payment pickups.
  • Invoice Resolution - act as the primary contact for resolving discrepancies when invoices are mistakenly paid to brands instead of the distributor.
  • Multichannel Communication - ensure effective and high-volume communication through emails, texts, and phone calls to meet the preferences of retailers and brands.
  • Collaboration and Problem-Solving - actively engage in discussions to contribute to resolving urgent issues through teamwork.
  • Documentation and Monitoring - meticulously record communication details with retailers and brands for efficient tracking of interactions and overall progress.

Qualifications

  • Experience in Customer-Facing Roles: Familiarity with Google Spreadsheets/Excel and accounting software; experience with QuickBooks is advantageous.
  • Strong Communication Skills: Excellent verbal and written communication abilities are crucial for effective interaction with retailers and brands.
  • Attention to Detail: Precision is essential for accurately documenting information, analyzing data, and promptly addressing invoice discrepancies.
  • Problem-Solving Skills: The capacity to think critically and devise creative solutions is vital, especially when resolving payment issues and managing delivery changes.
  • Team Collaboration: Ability to work effectively within a team environment is essential, as you will collaborate with various departments to resolve issues and make decisions that benefit all stakeholders.
  • Organizational Skills and Multitasking: Effective time management and the ability to juggle multiple tasks simultaneously are crucial for maintaining productivity in a dynamic environment.
