Job Overview

This is a remote job opportunity that requires a highly organized and tech-savvy individual with excellent communication skills. If you have a proven track record as an Executive Assistant to C-level executives and possess a proactive attitude, we encourage you to apply.

Key Responsibilities
  • Create and manage statements, invoices, and company expenses while ensuring timely payments.
  • Analyze industry trends, prepare reports, and gather data on best practices for comparative analysis.
  • Store, organize, and maintain documents, files, and information securely.
  • Perform data entry tasks, including lead lists, meeting minutes, transcription, payroll information, and research notes.
  • Conduct market research, purchase goods, and secure samples as needed.
  • Manage marketing and sales campaigns through a CRM system, storing, updating, and collecting relevant information.
  • Monitor projects, facilitate internal communication, and organize company data effectively.
  • Coordinate team calendars, prevent scheduling conflicts, and ensure clients are prepared for meetings.
  • Plan itineraries, book hotels, rental cars, and make travel arrangements as required.
  • Handle incoming calls, schedule appointments, and conduct informational inquiries.
  • Respond to emails, follow up on correspondence, and organize client inboxes according to their preferences.
  • Compile and present data into comprehensive reports and slides.
  • Upload videos, manage negative reviews, and maintain account profiles up-to-date.
Requirements
  • A minimum of 3 years of experience as an Executive Assistant to C-level executives.
  • Bachelor's degree or equivalent certificate course.
  • Excellent phone, email, and instant messaging communication skills.
  • Strong English communication skills (B2 level) both written and verbal.
  • Solid organizational and time management skills.
  • Tech-savviness and familiarity with current technologies like desktop sharing and cloud services.
  • Proficiency in word-processing software and spreadsheets (e.g., MS Office).
  • Familiarity with online calendars and scheduling tools (e.g., Google Calendar).
