Overview:

The Global HR Projects Delivery Lead is responsible for the comprehensive management and execution of a diverse range of HR initiatives across Astellas Pharma Inc. This role is pivotal in ensuring the delivery of exceptional HR operational and transactional services to employees worldwide.

Key Responsibilities:

  • Oversee the portfolio of Global HR Operations projects, including transformation and continuous improvement initiatives, to enhance project visibility and facilitate senior stakeholder decision-making.
  • Provide expert project management support for complex HR programs, ensuring effective delivery through a dedicated team of Project Delivery Specialists.
  • Establish and maintain global governance for the HR Operations project portfolio, monitoring project status, risks, and resource planning.
  • Drive demand and resource planning to align project requirements with available capacity, ensuring a structured calendar of project activities.
  • Identify and implement improvement opportunities that enhance efficiency and reduce costs, contributing to the achievement of business objectives.
  • Manage the HR Operations budget, conducting monthly financial analyses, quarterly forecasts, and annual budgeting processes.
  • Oversee HR Operations headcount reporting and maintain the HR Data Cube for accurate tracking.

Accountability:

  • Ensure successful delivery of HR projects aligned with global objectives.
  • Manage resources effectively to meet project goals.
  • Maintain oversight of project performance and governance standards.
  • Contribute to communications for global HR initiatives, collaborating with HR function members.
  • Lead budget management and headcount reporting efforts.

Project Management Excellence:

  • Develop and implement a standardized Project Blueprint for consistent project management practices across the team.
  • Create a project portfolio dashboard to provide a comprehensive overview of ongoing and upcoming HR projects.
  • Establish governance structures to regularly review project status and mitigate risks.
  • Ensure all projects have detailed timelines and governance frameworks in place.
  • Facilitate senior HR stakeholder communication to support decision-making regarding project priorities and resource allocation.

Team Leadership:

  • Lead and inspire the Project Delivery Specialist team, promoting Astellas values and high standards of conduct.
  • Communicate team priorities and monitor performance against objectives.
  • Enhance team capabilities through coaching, mentoring, and training.
  • Act as a quality control point for project execution and provide ongoing support.
  • Manage relationships with external consultants involved in project delivery.

Financial Management:

  • Track the HR Operations budget to ensure alignment with financial projections and identify cost-saving opportunities.
  • Review monthly management accounts to monitor budget performance and efficiency.
  • Lead budget forecasting activities in collaboration with HR country leads.
  • Establish governance structures for budget management, ensuring clarity and accountability.

Headcount Management:

  • Support strategic headcount planning and maintain accurate FTE data across HR.
  • Produce monthly reports on HR headcount and forecasted changes.
  • Ensure alignment with HR Connect for accurate data management.

Collaboration and Continuous Improvement:

  • Work closely with the Global Excellence Capability and Enhancement Team to align project management approaches with organizational standards.
  • Collaborate with HR stakeholders to define project priorities and outcomes.
  • Identify opportunities for continuous improvement in HR processes.
  • Foster strong relationships with Finance to support project delivery.

Qualifications:

  • Experience in a Shared Service Centre environment.
  • Proven track record in implementing continuous improvement projects.
  • Six Sigma Black Belt certification.
  • Strong knowledge of HR processes and metrics.
  • Proficient in project management tools and techniques.
  • Excellent people management skills.
