About the Role

We are seeking a highly skilled and experienced Document Management Specialist to join our team at Wintershall Dea. As a key member of our organization, you will be responsible for managing the creation, approval, distribution, and maintenance of documents within our project organization.

Key Responsibilities

  • Manage the lifecycle of project-related documents, ensuring they are properly controlled and maintained throughout the project lifecycle.
  • Create and maintain internal and supplier records, as well as prepare documents for transmittal to suppliers and other stakeholders.
  • Maintain information in our Electronic Document Management System (EDMS).
  • Generate and maintain document numbers in our Master Document Register (MDR), including supplier numbers.
  • Analyze and control all technical documentation related to department and project activities, ensuring compliance with contractual requirements and company procedures.
  • Generate reports, including Late Reports, Status Reports, and Open Reports, as required.
  • Follow document control procedures for transmitting and receiving documents.
  • Generate and maintain the project's documents distribution matrix.
  • Generate and maintain the MDR for project team use and conciliation with suppliers.
  • Handle and register all outgoing and incoming transmittals according to project document control procedures.
  • Review document and transmittal quality according to checklists.
  • Suggest improvements to increase efficiency and improve communication of departmental and functional information.

Requirements

  • University degree or other relevant education.
  • 3+ years of relevant document control experience, preferably with both operators and contractors.
  • Experience with Pims is preferred.
  • Experience with Mexican field development projects is preferred.
  • Proficiency in Microsoft Office, Sharepoint, and other relevant software.
  • Excellent communication and cooperation skills.
  • Ability to multitask and prioritize in a high-tempo environment.
  • Self-motivated and result-oriented with a balanced focus on HSEQ, Production, Cost awareness, and People.
  • Advanced proficiency in English (written and spoken).
