Job Summary:

The Executive Assistant to the Plant Manager is a dynamic role that requires a high level of professionalism, confidentiality, and problem-solving skills. As a key member of the leadership team, you will provide comprehensive support to the Plant Manager, Leadership Staff, and Executive Team, and manage the organization's office operations.

Key Responsibilities:

  • Coordinate leadership staff meetings and provide support and follow-up activities for the Plant Manager.
  • Administer office operations, including problem-solving and daily tasks.
  • Support the development and maintenance of the Plant Manager's yearly calendar and schedule.
  • Read and screen incoming correspondence and reports, making preliminary assessments and organizing and prioritizing documents.
  • Schedule and coordinate meetings, events, workshops, and visits.
  • Coordinate the completion and timely submission of the Daily Report and Monthly Report.
  • Issue and follow up on requisitions to purchase diverse articles.
  • Manage key office supplies and carpools, working closely with the facilities department.
  • Issue and personalize Christmas, Thanksgiving cards for Bendix employees as required.
  • Issue and personalize gifts for clients and co-workers.
  • Monitor and track expenses, consolidating statements versus T&E reports and purchasing reports.
  • Manage the Reward and Recognition control report.
  • Maintain Reward and Recognition items.
  • Control lunch requests (special requests).
  • Coordinate travel arrangements as required.
  • Process visa documents and permits for foreign visitors and US employees.
  • Update quality issues.
  • Assist with leadership activities as required.
  • The employee has the authority to stop the production line if a quality problem or defect is noticed.
  • Support PSA activities and procedures with team members.
  • Perform all activities required by the nature of the position.

Management & Supervisory Responsibilities:

This role is not directly responsible for managing other employees.

Knowledge & Skills:

  • Knowledge of Outlook.
  • Knowledge of printing, faxing, scanning, audio systems, and projectors.
  • Knowledge of communication skills.
  • Knowledge of event planning and coordination.
  • Knowledge of institutional and corporate protocol.
  • Knowledge of presentation design.
  • Knowledge of public relations.

Experience:

Preferred experience in a similar position, including purchaser/buyer, communication coordinator, or HR assistant.

Requirements:

  • Bilingual preferred (English/Spanish).
  • Self-starter, capable of working independently, highly motivated with a strong sense of urgency.
  • Ability to establish priorities and dedicate resources to critical actions necessary to achieve goals.
  • Effective problem solver, conducting unbiased analysis, and identifying hidden problems to achieve effective solutions.
  • Project management skills, handling multiple activities simultaneously to accomplish a goal.
  • Able to communicate effectively with others.
