Job Summary

This role is responsible for ensuring the provision of support services is delivered promptly and efficiently. The ideal candidate will provide service excellence through proactive operational support, ensuring compliance with Health and Safety legislation and internal processes.

Main Responsibilities
  • Manage the maintenance of buildings and grounds, including HVAC systems, lighting, life safety systems, plumbing, and repairs to workstations, carpet, and walls.
  • Receive, review, and approve quotes for repairs and maintenance, as well as approval of invoices for those services.
  • Assist with managing on-site food services, coffee service, and catering services for events.
  • Manage employee requests and inquiries related to their work environment.
  • Handle remote employee shipping and schedules meetings.
  • Support business trips and generate weekly status, project, and budget reports.
  • Make decisions on space usage in all locations.
  • Prepare specifications for furniture and coordinate purchases, deliveries, and installations.
  • Establish work plans for each phase of projects and coordinate assignments for project vendors and staff.
  • Assign and allocate space-related projects to direct reports and oversee progress.
  • Coordinate health, life, and disability insurance enrollments and communicate with service providers.
  • Conduct benefit enrollment processes and maintain employee records.
  • Handle vendor contracts and renewals, prepare new-hire paperwork, and maintain the employee handbook.
  • Assist with day-to-day HR operations and duties.
  • Create, implement, and evaluate HR department policies, procedures, and structures.
Qualifications and Education
  • Fluent English language skills.
  • Bachelor's degree in Administration, HR, or a related field.
  • 2+ years of related experience or an equivalent combination of education and experience.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work methodically and prioritize tasks effectively.
