**Job Summary**
We are seeking a highly skilled and experienced Administrative Coordinator to join our team in Mexico City, Mexico. As an Administrative Coordinator, you will play a critical role in supporting our team's administrative needs, ensuring seamless communication and coordination across different regions and departments.
**Key Responsibilities**
- Maintain calendars for the team, including booking and confirming meetings with stakeholders in various regions of the world.
- Schedule meetings and calls, both internally and externally, to ensure efficient communication and collaboration.
- Manage the flow of incoming and outgoing material, ensuring timely and accurate processing.
- Maintain a log to track projects and their status, providing visibility and transparency to the team.
- Take notes in meetings and circulate information to the greater team, ensuring everyone is informed and up-to-date.
- Coordinate the flow of information with other Administrative Assistants across all offices, promoting a culture of collaboration and teamwork.
- Coordinate travel arrangements (domestic and international) and other administrative duties, such as processing travel and expense reports, digital filing, and more.
- Communicate effectively with team members and stakeholders, both internally and externally, across different countries and time zones.
- Create presentations and documents using Google Suite, showcasing your creativity and attention to detail.
- Assist with team projects and events as needed, demonstrating your flexibility and willingness to support the team.
- Coordinate offsite events and activities, ensuring a seamless and enjoyable experience for all participants.
- Coordinate suppliers' information in the system and related payments, maintaining accurate and up-to-date records.
**Requirements**
- 5+ years of experience as an Administrative Assistant, Executive Assistant, or similar role.
- Proven ability to work in a fast-paced team environment, prioritizing tasks and responding accordingly.
- Excellent communication and interpersonal skills, with the ability to maintain confidentiality and discretion.
- Strong writing skills and the ability to multitask, with a focus on accuracy and attention to detail.
- Proficiency in Google Suite and the ability to learn and implement new tools and systems.
- Fluent proficiency in Spanish and English is essential.
