Job Description

We are seeking an experienced Administrative Coordinator to join our team as a Document Management Specialist. This role will provide support to Project Management teams in the Pre-Construction department.

Main Responsibilities:

  • Process and manage all supporting documentation involved in the design and permitting process.
  • Contact vendors as needed in a fast-paced environment.
  • Write, dispatch, and edit purchase orders.
  • Process invoices and set up new vendors in PeopleSoft.
  • Create, edit, and combine documents in PDF format.
  • Manage online systems for creating and verifying permitting accounts.
  • Fulfill online forms for municipalities and vendors.
  • Perform other duties as assigned based on business needs.

Requirements:

  • Bachelor's degree or equivalent in an administrative field.
  • Three years of experience in an administrative role.
  • Proven data entry skills and attention to detail.
  • Effective verbal, written, and interpersonal communication skills.
  • Bilingual English/Spanish fluency.
  • Basic knowledge of PeopleSoft software.
  • Experience supporting Pre-construction projects is a plus.

Estimated Salary: $55,000 - $65,000 per year.
