The Personal Injury Case Manager is responsible for end-to-end management of personal injury cases from intake through settlement or litigation. This role ensures consistent client communication, organized case progression, accurate documentation, and deadline compliance while supporting attorneys in maximizing case value and efficiency.
This is not a passive admin role. The Case Manager is the central operator of the case.
Key Responsibilities
Case Management & Workflow
- Manage a full caseload of personal injury matters (pre-litigation and/or litigation)
- Ensure cases move forward according to firm timelines, SOPs, and statutory deadlines
- Maintain accurate and up-to-date case files in the firm's case management system (e.g., MyCase, Filevine, Clio)
- Track treatment, gaps in care, liens, and damages documentation
- Monitor statute of limitations and critical case milestones
Client Communication
- Serve as the primary point of contact for assigned clients
- Provide regular case status updates and manage client expectations
- Collect records, bills, and authorizations from clients
- Ensure clients are informed, supported, and responsive throughout the case lifecycle
Medical Records & Damages
- Request, follow up on, and organize medical records and billing
- Track treatment progress and outstanding balances
- Identify red flags such as treatment gaps or causation issues
- Assist with damages summaries and settlement packages
Insurance & Claims Handling
- Communicate with insurance adjusters regarding claims, records, and demands
- Assist with drafting and assembling demand packages
- Track settlement offers and negotiations under attorney supervision
- Ensure liens (medical, subrogation, PIP, etc.) are identified and resolved
Attorney & Team Support
- Prepare case summaries, chronologies, and reports for attorneys
- Coordinate with paralegals, legal assistants, and intake teams
- Flag stalled cases, missing documents, or risk issues proactively
- Support trial prep or litigation tasks if applicable
Required Qualifications
- 2+ years experience in personal injury case management or paralegal work
- Strong understanding of PI workflows, medical terminology, and insurance processes
- Excellent written and verbal communication skills
- High attention to detail and deadline discipline
- Experience working with case management software (MyCase, Filevine, Clio, etc.)
- Ability to manage high caseloads without sacrificing accuracy or client service
