Role Purpose

The Administrative & Accounting Analyst supports day-to-day finance and administrative operations of Nazca's Mexico City office. This role is ideal for a recent accounting / administration graduate eager to develop experience in accounting, compliance, vendor management, and internal office operations. The Analyst will work closely with the finance and operations teams to ensure accurate reporting, well-organized processes, and a professional office environment.

Responsibilities and Deliverables

Accounting and Financial Support

  • Assist with accounts payable: invoice requests, payment processing, and supplier follow-ups.
  • Reconcile bank transactions, recurring expenses, and petty cash records.
  • Support preparation and filing of monthly and annual tax obligations (DIOT, VAT, ISR) under supervision.
  • Maintain organized electronic files of receipts, vouchers, bank proofs, and compliance documentation.
  • Help prepare documentation for internal and external audits.

Compliance and Investor Support

  • Review and maintain KYC, UBO, and WC1 documentation for onboarding of new investors and annual updates where needed.
  • Prepare and deliver asset logs requested by LPs within three business days of receiving the request, and maintain an up-to-date tracker to monitor these submissions.
  • Implement a new KYC/AML process using technologies such as DocuSign or Kroll, and transition at least 50% of manual KYC procedures to a more digital, efficient, and streamlined format.
  • Ensure compliance documents remain audit-ready and accessible.

Office Operations

  • Own and oversee ticketing system for office management and facilities requests.
  • Oversee office facilities, maintenance, and repairs, being physically present to coordinate with contractors and vendors.
  • Support basic facility management tasks and office maintenance coordination.

Onboarding, Offboarding and Team Support

  • Prepare workspaces and equipment for new hires, coordinating IT setup.
  • Ensure correct and timely enrollment or removal from applicable benefits and insurances.
  • Ensure all team digital files are kept up to date, and (provide support or take ownership) of the onboarding and offboarding processes at Nazca—coordinating notifications and follow-ups with all relevant parties, platforms, and services.
  • Plan and execute internal office activities, such as team meals and small events within budget.

Reporting and Collaboration

  • Reports directly to the Head of Finance, with specific activities coordinated by the Managing Partners.
  • Works closely with accounting, legal, and the office teams to ensure compliance, accurate reporting, and efficient operations.
