WHAT IS YOUR ROLE

As the Senior Executive Assistant, you'll play a pivotal role in delivering high-quality administrative and operational support to Boldr's executive leadership. As the backbone of the Office of the Executives, you will help the Senior Leadership team operate with clarity and focus by making space for strategic prioritization and cross-functional alignment.

You will manage scheduling, travel, and meetings across multiple time zones while preparing high-quality internal decks, documents, and reports. You'll handle sensitive information with discretion, maintaining strict confidentiality at all times. You will also serve as a trusted liaison between executives and key internal and external stakeholders, ensuring effective communication, alignment, and follow-through on company-wide initiatives.

In addition to core executive support, you will assist the Chief of Staff in driving local initiatives in our Boldr Mérida office by coordinating leadership visits, onsite events, and engagement activities..

Beyond core executive support, you'll contribute to the successful execution of leadership events and offsites. You'll identify opportunities to enhance executive operations through process improvements, smarter tools, and more efficient workflows. Your ability to anticipate needs, multitask effectively, and navigate a fast-paced environment will directly enhance the strategic capacity of the Executive team and drive organizational impact.

WHAT WILL YOU DO

Executive Support 

  • Prioritize, manage, and organize the Executives' email inboxes, ensuring timely responses to critical communications
  • Manage and organize the Executives' calendars, ensuring optimal alignment with strategic priorities
  • Schedule internal and external meetings with proactive conflict resolution and agenda planning 
  • Coordinate domestic and international travel logistics (flights, accommodation, parking) and travel briefs 
  • Prepare and provide regular reports on the executives' activities, upcoming commitments, and potential issues to the Chief of Staff 
  • Anticipate and proactively address potential scheduling, communication, or information gaps, ensuring leadership decisions are fully informed.
  • Serve as the central coordination point for one or more senior executives, ensuring alignment across shared initiatives, cross-functional meetings, and leadership communications.

Operational Coordination 

  • Work in tandem with the Chief of Staff to organize company-wide events, leadership summits/retreats, and other significant engagements, ensuring they serve the strategic and team-building objectives set by the leadership 
  • Support the Chief of Staff in maintaining leadership rhythms (e.g., leadership meetings, OKR tracking, quarterly reviews), ensuring alignment and accountability
  • Coordinate with the IT and HR teams to manage the logistics of onboarding and offboarding, including sending and receiving company devices and ensuring new Team Members receive their welcome kits on time.
  • Support to maximize engagement and office operation support in activities and regional events, such as: 
    • Setting up snacks for the office
    • Celebrations and events where we celebrate our company and local culture
    • Team and office anniversaries and events 
    • Decoration of the office according to the monthly festivities
  • Prepare decks, reports, and communications for executive meetings 
  • Track follow-ups and commitments using task management tools 
  • Proactively recommend and implement process improvements to optimize executive operations and collaboration.

YOU HAVE…

  • Excellent verbal and written English communication skills to effectively convey messages, coordinate with team members across different countries, and maintain clear and professional interactions with internal and external stakeholders 
  • Excellent ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment 
  • 5+ years of experience as an executive/virtual assistant, business coordinator, or equivalent support role in a high-growth company 
  • Experience working with remote managers and teams
  • The ability to handle complex calendars and overlapping schedules
  • Strong problem-solving and decision-making skills 
  • Proficiency in using cloud-based applications such as Google Apps (Google Drive, Google Sheets, Google Docs, Google Slides) 
  • The ability to manage multiple tasks and projects simultaneously with meticulous attention to detail, ensuring nothing is overlooked. 
  • The ability to take strong, clear feedback, and the ability to give it to the appropriate stakeholder/s
  • Experience supporting and coordinating large groups of people and global/regional projects
  • Ability to understand and respect cultural differences within the company's global operations, and adapt communication styles accordingly.
  • Ability and capacity to handle high-pressure situations calmly and effectively, maintaining productivity and focus. 
  • Capacity to anticipate challenges and proactively address them before they escalate
  • Experience handling confidential information and executive communications on behalf of senior leaders.
  • Proven ability to enhance executive operations through improved systems, tools, or communication workflows.
