Join our dynamic global marketing team at a leading global consulting firm as a Marketing and Events Coordinator In this influential role, you will be at the forefront of planning, executing, and supporting a range of both virtual and in-person B2B events, including sponsored conferences and internal client interactions.
Your main responsibilities will involve engaging with industry associations that Control Risks is affiliated with, assisting in the development of impactful marketing materials—such as emails, newsletters, articles, podcasts, videos, social media posts, biographies, and brochures—managing purchase orders and overseeing budgets, as well as collaborating with various suppliers, including agencies, printers, writers, and designers, to ensure all ad-hoc projects run smoothly.
The perfect candidate will demonstrate exceptional project management skills, excel at balancing multiple priorities, and possess a strong commitment to delivering stellar service. Experience in coordinating events across the Americas is a distinct advantage, particularly as some of our events will be conducted outside of Mexico.
Tasks:
Event Planning & Coordination
- Assist with the planning and execution of a wide range of corporate events, ensuring brand alignment and a seamless experience.
- Oversee pre-event logistics, including managing delegate lists, badges, catering, shipping, vendor coordination, venue selection, and related administration.
- Keep track of inventory for event materials and promotional items.
- Monitor event budgets, process invoices, and assist with performance reporting.
- Work collaboratively with the regional marketing team and other internal stakeholders to ensure successful event delivery.
- Provide on-site support, which includes welcoming attendees at in-person events when applicable.
- Manage event registration, communications, distribution of materials (such as signage, brochures, and merchandise), and follow up after events.
Marketing & Project Support
- Assist in producing and disseminating internal newsletters and social media updates.
- Aid in business development efforts by keeping client biographies, marketing materials, and internal platforms like the intranet up to date.
- Collaborate with the global marketing team (digital, content, creative) to ensure effective campaign execution across various channels.
- Monitor and compile media mentions and PR coverage for internal reports and stakeholder updates.
Travel: 0-10%
Requirements- Bachelor's degree in Marketing, Communications, Business, or a related field.
- Fluency in Spanish and English (written and spoken), and knowledge of Portuguese preferred.
- 2+ years of experience in marketing, including event coordination, or corporate event support.
- Strong project management/time management and organisational skills with the ability to multitask.
- Excellent written and verbal communication skills.
- Intermediate to advance MS Office skills (Word, PowerPoint and Excel).
- Proficiency with CRM, event and email marketing platforms (e.g. MS Dynamics 365, EventBrite, GoToWebinar, MS ClickDimensions).
- Ability to work independently, as well as collaboratively within a team.
- Basic corporate social media marketing skills.
- Exceptional attention to detail and proofreading skills.
- Strong interpersonal skills and relationship building skills.
- Ability to work under pressure and meet deadlines.
- Comfortable working across time zones and cultures.
- Demonstrable experience in using CRM, event, digital marketing and email marketing platforms (e.g. MS Dynamics 365, EventBrite, GoToWebinar, MS ClickDimensions).
- Experience working across events remotely and in multiple countries would be advantageous.
