Kennedys is recruiting for a Billings Specialist to join our Finance team in Mexico.
Kennedys Finance team support the firm globally producing timely and accurate financial and management information, reporting solutions and operational support to maintain the high standard of service offered to the firm's internal and external clients.
Our Finance team is made up of Group Financial Reporting, Financial Planning and Analysis, Client Reporting and Insights, Finance Systems and Finance Operations (billing, credit control, cashiers, finance database).
Finance has a presence in the different regions and in the local and global offices supporting their operations and providing advice.
This role will report to the local and regional Latam office and will be responsible for the billing and collections of the Mexican operation.
Key Responsibilities
- Establish controls to ensure the quality, integrity and timely the billing and collections
- Monitor workload distribution and overtime requirements, identifying areas where efficiencies of the billing and/or collections function can be improved. Work with the Sr. Finance Manager to implement approved changes
- Maintain hands-on knowledge of all billing and collections related functions in order to provide proper training, back-up and support, including, but not limited to bill preparation, bill review, pre-bill review, appeal management, , write off management and exception rate management
- Monitor actual billings and collections against budgets/targets and liaise with the Finance Manager, when necessary
- Attend monthly review meetings with Partners to look at goals, performance and remedial actions when required
- Resolve billing and collection issues and liaise with other teams outside Mexico when necessary
- Assist team members to provide a comprehensive billing service, providing administrative assistance as required
- Produce of Work in Progress (WIP) and missing time reports as required
- Provide support in drafting bills as requested (in accordance with Client Service Level Agreements), ensuring completeness of billing information
- Track and chase unsettled draft bills on a regular basis, report defaulters to supervisors.
- Respond to all requests in a timely and efficient manner
- Ensure any amendments are processed and permanently changed in billing set-up where appropriate
- Work with the wider the finance team to proactively resolve billing information issues before delays impact the revenue cycle
- Assist with engrossing bills as required
- Respond to information requests promptly, referring to any complex queries to the relevant Manager.
- Help draft, amend and coordinate the lodgement of e-bills
- Show a high level of dedication and flexibility, to ensure strict billing schedules are adhered to as and when required
- Ensure a high standard of work output and quality of information
- Refer to any contentious issues to the relevant Manager.
Required Experience
- Previous legal billing experience would be an advantage
- Knowledge of cashflows, reporting, reconciliation and SLAs
- Experience in Excel and finance systems.
