About the Client:

The Client owns and runs a specialized Business Coaching Firm that is committed to high-quality coaching and rapid business growth. The firm requires immediate support to delegate core administrative tasks and elevate its content quality, aiming to maintain the exceptionally high standards set by the current team. This role is vital for operational efficiency and professional brand representation.

About the Role:

We are seeking a Full-Time Virtual Assistant who will serve as the strategic operational backbone of the business. This role is approximately 70% Executive Assistant Duties and 30% Media Content Coordination. The primary focus is on administrative precision and operational efficiency, ensuring the Owner's schedule and finances are meticulously managed.

Key Responsibilities

1. Executive Assistant Duties (Operational Focus)
  • Time Management & Scheduling: Proactively manage the business owner's calendar, scheduling, and appointments (including managing personal expenses/tasks).
  • Communication: Manage personal and business emails, prioritizing, drafting responses, and ensuring timely follow-up.
  • Financial Administration: Oversee personal expense tracking, manage bank transactions, and oversee basic business financial tasks.
  • Client Onboarding & Admin: Manage the administrative side of client flow, including sending welcome packets, setting up client accounts, and granting program access.
  • Proactive Support: Identify and execute tasks that anticipate the owner's needs and increase overall efficiency.
2. Media Content Coordination
  • Content Scheduling & Posting: Manage the content calendar and execute all media posting across platforms (Reels, YouTube, Podcasts), including writing captions.
  • Quality Control: Ensure all content meets a high standard, focusing on accurate captions, appropriate B-roll, and superior video/audio quality, surpassing the quality of basic editing software.
  • Presentation Creation: Create engaging and smooth presentations and slideshows (Google Slides) for client or business use.

  • Executive Assistant Background: Proven experience as an Executive Assistant, demonstrating the ability to multitask and manage complex schedules.
  • Autonomy: Must be an independent thinker who can perform tasks with minimal supervision.
  • Attributes: Highly organized, proactive, and demonstrates exceptional attention to detail.
Technical & Hard Skills
  • Media Editing (Preferred): Demonstrated proficiency in video and audio editing for social media and long-form platforms (Reels, YouTube, Podcasts) is a strong preference.
  • Google Suite Mastery: Mandatory proficiency in Google Sheets, Google Docs, and Google Slides.
  • Communication: Excellent written and verbal English fluency is mandatory.
