**Job Summary**
Accounting and administrative assistant is responsible for maintaining the activities related to billing, AP, and AR, keeping detailed records, and solving the problems that these activities present. Provides requested reports and documents to the accounting office. Responsible for purchases of supplies and services requested by the warehouse. He/she has extensive relationships with the finance team in Canada including reporting and audits. Direct report to the General Manager in Mexico office.
Duties
- Receive, file and record vendor invoices.
- Receive, file and record interco invoices.
- Download, file and record utilities invoices.
- Provide forecast for weekly payments.
- Set up bank transactions on bank webpage.
- Request payment approvals.
- Send payment remittances to the vendors after payment.
- Reconcile payables at the end of the month.
- Create _CFDI’s_ for invoices, credit notes and payment remittances.
- Record invoices in spreadsheet.
- Send invoices, _addendas_ and validations to customers or upload them to customer’s websites.
- Confirm payments on bank accounts.
- Prepare statements for customers.
- Record payments on ERP.
- Reconcile receivables at the end of the month.
- Provide bank movements on the 1st day of the month.
- Provide official bank statements when ready at the bank (around day 7).
- Provide monthly sales and payments reports.
- Provide vendor invoices and expenses reports when requested.
- Reconcile Intercompany A/P, A/R at the end of each month with sister companies
- Procurement of office and warehouse consumables.
- Procurement of maintenance services in the warehouse.
- Continuous improvement on his/her position’s procedures.
- Support on warehouse activities and campaigns such as health and safety, continuous improvement.
- Any other related duties as reasonably required.
**Required skills**
Studies / Experience
Bachelor’s degree in accounting, management, business, or similar field of study, or +2 year of experience in general accounting, AP, AR, and finance.
Specific Skills
Analytical thinking, attention to detail, computer skills, communication skills, problem-solving skills.
Basic understanding of principles of finance.
Proficiency with Excel
Languages: Spanish and **English**.
Personality
Responsible, honest, enthusiastic, autonomous, self-starter, team player, detail oriented.
