Key Responsibilities Office & Operational Management: Oversee daily operations of MCP's Mexico City office, including workspace setup, vendor relations, and coordination for visiting executives and investors, while managing scheduling, meeting logistics, and travel across Mexico, Cayman, U.S., and Europe time zones. Track and reconcile expenses, maintain invoices, and support budget management for local and global operations, alongside managing documentation and filing systems for Cayman GP/LP, Delaware LLC, and Mexico SAPI entities. Maintain the firm's internal project tracker (Notion/Slack) to ensure smooth cross-team communication and prepare meeting minutes, summaries, and follow-ups for Investment Committee, Risk, and Operations calls. Talent Development, HR & Culture: Manage end-to-end hiring logistics for interns, engineers, researchers, and global staff, overseeing onboarding and offboarding processes, including hardware setup, access permissions, contracts, and cultural integration. Build and maintain HR databases, benefits administration, and performance review systems, while coordinating internship programs with top universities like UNAM, ITESM, Berkeley, and Toronto. Drive firm culture through team-building initiatives, wellness support, and offsite event planning, supporting leadership in implementing talent development plans, mentorship initiatives, and professional growth frameworks. Compliance, Legal & Regulatory Affairs: Coordinate regulatory filings, board documentation, and entity governance across Cayman, U.S., and Mexico, maintaining compliance calendars, tracking key deadlines (CIMA, CTA/CPO, FATCA/CRS), and liaising with fund administrators and auditors. Manage execution of legal documents like NDAs, resolutions, and contracts, ensuring version control, while supporting investor onboarding processes (KYC/AML) and maintaining confidential records securely. Work with legal counsel to align local HR, data protection, and corporate policies with regional regulations. Finance and Accounting: Coordinate expense management and vendor invoicing, liaising with accounting partners on local Mexico SAPI financials and tax filings. Track renewal dates for software, data vendors, and service provider contracts, and assist in preparing internal financial dashboards and summaries for leadership review. Strategic Projects & Executive Support: Serve as the operational right hand to the CIO and COO, managing priorities, schedules, and execution of strategic initiatives, while preparing briefing notes and meeting packs for investor calls, conferences, and board meetings. Coordinate investor communications logistics, including scheduling, material preparation, and follow-up, and maintain firmwide documentation and policies like compliance manuals, employee handbooks, and SOPs. Support special projects such as, new entity formations, and strategic partnerships, managing confidential communications with discretion. Data, Technology & Productivity: Administer internal systems, monitor data integrity alerts, and liaise with the engineering team on system uptime and reporting checks, while coordinating cybersecurity measures, device management, and 2FA compliance. International Coordination: Act as the main communication bridge between the Mexico City hub and the Northern Hemisphere team, managing logistics for cross-border investor events, conferences, and due diligence meetings, while tracking visas, travel risk, and insurance compliance for all international travel. Requirements Fluent in English and Spanish (written and verbal). Minimum 3+ years' experience in operations, office management, executive support, or Chief of Staff–style roles (preferably in finance, tech, or professional services). Highly organized, discreet, and detail-oriented, with a bias for execution and ownership. Strong grasp of financial, legal, or HR processes; comfort working across jurisdictions. Ability to work across North American time zones. Culturally fluent and proactive in building team morale and cohesion. Benefits Global Exposure: Collaborate with world‑class investment and research professionals operating across continents. Direct Impact: Shape the foundation of a rapidly scaling hedge fund. Career Growth: Opportunity to evolve into COO or Head of Operations as the firm expands. Learning Environment: Work alongside the CIO, Head of Research, and legal/compliance advisors on institutional projects.
