We are looking for a polished, detail-oriented Client Relations & Billing Coordinator to serve as a key point of contact for our clients while supporting core billing and finance operations. This role goes beyond traditional administrative support—it plays a critical role in shaping the client experience, ensuring billing accuracy, and keeping operational workflows running smoothly. You will manage client communications, handle billing interactions, support invoicing and payment processes, and collaborate closely with internal teams to maintain a high standard of service and professionalism. Key Responsibilities Client communication & relations: Serve as a primary point of contact by answering and routing incoming calls and emails with professionalism and efficiency. First-line client support: Provide timely, courteous responses to client inquiries, resolving routine concerns and escalating issues when needed. Billing coordination: Process payments, issue invoices, and respond to billing-related questions with accuracy and clarity. Financial operations support: Assist with Accounts Payable (AP) and Accounts Receivable (AR) activities as required. Record management: Log and maintain accurate records of client communications, billing activity, and payment updates. QuickBooks administration: Create, send, track, and follow up on invoices; support reconciliation and resolution of payment discrepancies. Operational support: Assist the billing and finance teams with light bookkeeping and administrative tasks to ensure smooth daily operations. Qualifications Previous experience in client relations, billing, administrative support, or a similar client-facing operations role . Demonstrated experience with invoicing and payment processing (required). Familiarity with QuickBooks or comparable accounting software (preferred). Working knowledge of Accounts Payable and Accounts Receivable processes. Strong technical aptitude and ability to learn new tools and systems efficiently. Clear, professional communication skills—calm, friendly, and confident in all interactions. Highly organized, detail‑oriented, and dependable, with strong follow‑through. Experience supporting teams in a technology‑driven or fast‑paced environment is a plus.
