General Duties

  • Organize and schedule appointments, meetings, conferences, teleconferences.
  • Plan and arrange domestic and international travel, accommodations, transportation, itineraries, and all related correspondence.
  • Prepare and report business expenses including reconciling them with credit card statements.
  • Produce a variety of correspondence, memos, letters, forms, reports, and other administrative activities as requested.
  • Organize meetings, customer visits, and events including reserving meeting space, arranging catering, and preparing materials.
  • Order office supplies and maintain inventory.
  • Answer telephone and electronic inquiries and relay messages.
  • Set up and maintain filing systems, manage visitor and travel programs, and corporate card program.
  • Work closely with global security to ensure traveler security and risk management.
  • Compile data and information to support research activities.

Profile

Education: Bachelor's degree in related field preferred

Years of Experience: More than 2 years

Experience in/with: Administrative roles, Comfortable with changing demands.

Skills: Strong written and verbal communication skills for client and staff interaction, Proficiency in MS Word, Excel, PowerPoint, and Outlook. Collaboration skills. Attention to detail for accuracy in data entry, document preparation, and report generation. Basic math skills for bookkeeping and budgeting. Travel system experience (such as AMEX GBT, Concur, GetThere or similar).

Languages: Advanced English, Portuguese is a plus
