Responsibilities

In order to fulfill the team purpose of the Global Procurement Department, this role plays a crucial part in procuring goods and services to meet various strategic needs as guided by the Group head for the purchasing function. This includes obtaining software licenses, IT infrastructure, office equipment, and maintenance, among other things.

To ensure a high-quality service, maintaining the accuracy and relevance of item and vendor data in the ERP system is a key responsibility of this role. The level of assistance needed for data updates and maintenance will vary based on directives from Procurement management.

It is essential to acquire goods and services to meet strategic needs directed by the Group head of the purchasing function. This may involve complex third-party procurements necessary for the company's operations and success, such as software licenses, IT infrastructure, marketing, office services, and professional services.

Key Responsibilities (Main job accountabilities)

  • Execute procurement plans for strategic purchases
  • Lead negotiation and contract drafting activities with internal customers
  • Prepare reports and summarize data
  • Ensure high-quality execution of regular purchasing tasks and administrative duties
  • Maintain updated purchasing records in the system
  • Ensure audit compliance and accuracy of procurement documentation
  • Prepare and process purchase orders in line with company policies
  • Liaise with vendors throughout the procurement process
  • Participate in the vendor creation process
  • Negotiate price and delivery terms following Finastra's conditions of purchase
  • Negotiate framework agreements and contracts beyond standard terms and conditions
  • Maintain an organized system for ordering supplies and equipment
  • Communicate progress and address inquiries from requesters
  • Maintain integrity and accuracy of item and vendor data in the ERP system
  • Provide feedback to Procurement Vendor Management and Sourcing teams on vendor performance

Desired Skills and Experience

Experience

  • 3+ years of experience in a professional purchasing/procurement role
  • Prior experience in procuring similar items/services is preferred but not required
  • Proficiency in S2P and ERP systems

Qualifications & Certification

  • Bachelor's Degree or Professional accreditation is a plus
  • In some cases, a proven track record in a relevant role may substitute professional qualifications
  • Proficiency in English
  • Strong communication and negotiation skills
