**Job Title**:
**Remote Executive Business Operations Assistant **(100% Work From Home)**

**Location**:Remote from Latin America

**Position Type**:Full-time

**Salary**: $ 2500 USD / month

**Schedule**:40 hours a week (although some weeks may require additional time) Monday through Friday (8:00 am - 4:30 pm CDT)

Our client is a private equity firm that owns and operates multiple businesses. They are looking to hire a remote business operations assistant to help the owner manage his team more efficiently both on a personal and professional level.

**Responsibilities**:
**Personal Life**
- Event planning (dinners, future events)
- e.g. If client wants to host recurring dinners in two cities. He'll need you to build the requirements list of those dinner (eg. delivery, times, what days) and at the right time, ask him who he wants to attend and to write up a small blurb you can use to send the invites. Then manage the guest list and prompt him to invite more ppl if some of the originals decline the rsvp. And order the food for delivery, creating an easy flow for him to focus on the people and the experience rather than the logistics.
- He's going to start hosting an entrepreneurs workout at one of his companies (a gym). Client wants you to manage dealing with the coach who will teach it, working with the company on setting up the space, asking him who to invite, and managing the invite itself and rsvps.
- Or he wants to host a rooftop solar eclipse party in April. Instead of prompting him today on who he wants to come to, which creates a lot of distractions for him now, he'd like for you to be thinking about when you need to talk about that and bringing it up to him at that future date. In other words, when he has an idea for something in the future he wants you to be the one that makes it happen in the future.
- Calendar management
- Travel booking.
- House admin (across three houses in different cities)

Business

Our client leads two companies: a real estate private equity firm and a high-end fitness and wellness business. In both of those companies they use management tools including Asana and Notion. They also use other tools specific to those businesses. A big part of this role is helping the owner with the more administrative elements of those worlds tasks and follow-ups that he needs to do but that aren’t super specialized work (aka outside of his zone of genius).
- Help manage inbound administrative work (mail, requests for documents, compiling reports) and see them through to completion.
- Work with team members across both companies to manage small projects.
- Observe areas where our systems and reference materials are out of date or disorganized (e.g. our marketing boilerplate in Notion is out of date). Your job is to separate the demand to do this and the adminsitrative work of finding it versus asking me to focus just on what I’m good at which is rewriting it.
- Help organize projects in Asana across all teams at both companies. Specifically helping me keep my head clear about what I need to do and the demands for my time in those tools.
- I work on the legal structure and finance side of both of my companies. This means there are huge amounts of detail and lots of steps involved in most things I do. And each of those things involve a number of others. And we are often waiting for them to get things done. I’d like you to know where all of those things are in process and, when it’s needed, follow-up with those parties to get what we need to move forward. This will require some learning as some things do actually take time. But carrying the “is this done, what’s next” in my head can be overwhelming.

**Requirements**:

- Tech-oriented.
- Minimum of 3-5 years of experience in business consulting, project management, operations management and/or leading startups/teams/organizations.
- A bias for action and completion. It’s better to push to get something done and ask for feedback rather than asking me for extremely specific guidelines on every step.
- We’ll share guides and processes via Notion, Notion databases are powerful
- Must have advanced level of english proficiency (written and spoken)
- Must be located in Latin America
