So right now, my team and I are growing VERY rapidly, and we are currently looking for a Head of Operations.
This job is FULL TIME, and will require 8 hours/day(Depending) Monday - Friday 8-5pm and 2hrs Saturday.

- You’re going to be talking with people all day. Being a natural rapport builder is going to hedge your bets of success (this DOESN’T mean you have to be an extrovert).

- There’s nothing wrong with missing due dates or needing more time, but it MUST be communicated 1) proactively and 2) with a reason. We are super flexible as long as communication is exceptional.
Communication:
- Per above, communication and responsiveness are really big. We don’t need you to work all the time, but at least be able to communicate responsively during certain hours via slack (you can use your phone). Even responses like “I am with family right now and I’ll circle back” are fine.

- Keeping things clean, organized, and creating Standard Operating Processes (SOPs) across the business.

- You’re tasked with helping the team live up to their highest standards. Therefore, YOU must live up to our high standards.

- You must be calm under pressure and hold firm to stay in control of your roles & responsibilities.
**ROLES & RESPONSIBILITIES**
Customer Support/Client Success
- Respond to Client Group Comments Within 24 Hours
- Respond to Free group Comments Within 24 Hours
- Guarantee each member is added to the client success group
- Guarantee each member fills docusign coaching agreement
- Guarantee each member has a successful 5 week launch into the program
Organization/CRM
- Add new clients & update existing ones into CRM system
- Upload/organize files into web-based systems (Google Drive, etc)
Calendar Management
Basic Bookkeeping
- Create quotes/invoices to send to the company's leads & clients
- Follow-up on late payments
- Categorize expenses from bank accounts and/or credit cards
- Track revenue on spreadsheets
- Other basic bookkeeping tasks as needed - Does not include professional bookkeeping or software expertise
General Research
- Online competitors research
- Keeping up to date on the latest trends on social media, A.I, tech, and women’s health and fitness
Social Media Management
- Posting in Facebook groups of our ideal clients
- Help with Social Media content organization, scheduling & management
- Publish posts on different social media channels (Facebook, Instagram, YouTube etc)
- Monitor & respond to messages/inbox on any social media channel
Personal Support
- Help with flight/travel research & online booking
- Any other type of personal support our CEO requests
Other General Administrative Tasks
- Update spreadsheets
- Take notes during team/client meetings
- Keep track of team members hours and making sure the company is getting charged accordingly to the agencies
- Generate reports related to given/provided data
- Other general admin tasks as needed by the company. Team members & clients
- Ensure google rating is being completed by Clients 3 months in that had a successful journey
- Referral asking 4 weeks into the program
- Send our personalized cards to New Clients
- Send out Client surveys 2 weeks
