About the Role
Zinc Zillow, Inc. is seeking a highly organized and proactive Employee Service Specialist to join our Human Resources team. As a key member of our team, you will play a critical role in supporting our HR efforts and delivering a best-in-class experience to employees.
Key Responsibilities
- Support the onboarding of new hires, including coordinating with recruiting and new hires to ensure clear Day 1 communications, and acting as an escalation point for payroll to ensure paperwork is submitted correctly and on time.
- Plan, support, coordinate, and execute events for the Mexico office, such as recruiting events and housewarmings, including making reservations, handling logistics and communications, and working with various internal teams.
- Support components of the purchasing and procurement process for the Mexico office, as needed or requested.
- Act as the main point of contact between the WeWork team and Zillow to identify and escalate challenges.
- Act as an on-the-ground escalation point for Center of Expertise (COE) groups, providing local expertise and insights, and recognizing that some conversations may be best in Spanish.
- Maintain physical, on-site employee records to ensure compliance and keep records updated, including making sure the right teams have access to contracts, scanning new hire paperwork, and getting it to the appropriate team.
- Collaborate with teams like Payroll, T&E, and People Legal to improve processes for Zillow Group's Mexico employees, providing administrative support, interacting with vendors and employees, gathering data for COE groups, and performing audits as needed.
- Support employee engagement initiatives such as surveys, training, and feedback sessions to identify areas for improvement and enhance employee satisfaction, managing distribution lists, summarizing information, and escalating appropriately.
- Provide general administrative support as needed, which may include ad hoc translation.
- Support travel arrangements including transportation, lodging, and office logistics for Zillow Group employees.
- Communicate with external vendors and/or stakeholders as necessary.
- Support and manage unemployment claim requests from terminated employees, checking the ServiceNow unassigned queue for new requests and manually checking specific state sites for new claim submissions, reaching out to HRBPs and Payroll as needed to gather additional information.
- Review mail scan requests from the Seattle mailroom team in the ServiceNow queue and take appropriate action, such as forwarding to other COEs or filling out forms for the ESC.
- Listen to new voicemails received by the ESC team via ServiceNow and take appropriate action, like completing employment verification requests or relaunching Workday access for terminated employees.
- Support employment verification requests received by the ESC team via ServiceNow.
- Continues learning and taking on more ESC-related tasks, gradually becoming integrated into the queue and able to support all employees.
