About the Role

We are seeking a highly skilled Global Management Support Specialist to join our team in Mexico. This is an exciting opportunity for an experienced administrative professional to take on a new challenge and apply their expertise in a dynamic and fast-paced environment.

Job Description

The successful candidate will assist the General Management team in shaping the backbone of our organization, working closely with cross-functional teams, and executing administrative tasks with precision and a proactive approach. Key responsibilities include:

  • Acting as the point of contact between the Top Management and supporting the day-to-day operations of the team
  • Handling requests and queries appropriately, maintaining professional and personal agendas, and arranging meetings and appointments
  • Producing reports, presentations, and briefs, developing and carrying out an efficient documentation and filing system
  • Managing travel arrangements, creating and end-to-end managing of all travels in relation with the travel agency, and managing VISA processes and expense claims
  • Invoicing management, suppliers creation, purchase orders creation, and follow-up with suppliers and accounting department
  • Supporting logistics organization for Executive & HR seminars, maintaining records related to grievances, performance reviews, and disciplinary actions
  • Maintaining computer systems by updating and entering data, creating and distributing documents, and serving as a point of contact with benefit vendors/administrators
  • Taking charge of all Purchase Requests, Purchase Orders, including managing external vendor queries
Requirements

We value passion and attitude over experience, but some essential skills and qualifications include:

  • 5+ years of experience in executive administrative assistant, senior executive assistant, or secretarial position
  • Proficiency in MS Office with expertise in Word, PowerPoint, and Excel
  • Confirmed experience in verbal and written business correspondence in both Local language and English
  • Full comprehension of office management systems and procedures
  • Excellent organization, planning, and time management capabilities, discretion, and confidentiality
  • Excellent problem-solving, critical thinking, and communication skills, and ability to multitask and prioritize daily workload
