We are seeking a skilled Customer Service Operations Specialist to guarantee a positive customer experience and ensure quick and reliable processing of customer orders from booking to invoicing. This role requires the ability to manage speedy and knowledgeable responses to assist customers at any stage of their order and proactively solve any problems.

Main Responsibilities:

Receiving and booking customer purchase orders timely and correctly.Responding to all customer inquiries within 24 hours.Ensuring all orders are accurately entered to meet product specifications, agreed delivery times, certifications, and documentation requirements.Conducting weekly calls with Operations to provide order updates and ensure alignment with customer request dates.Providing customers with order status updates at every stagePrioritizing order execution by working closely with planners, buyers, and the plant to meet customer requirements.Proactively handling order backlogs.FOLLOWING up on commitments and delivery achievements with relevant teams.Handling change order and cancellation requests efficiently.Supporting all inquiries related to orders from quoting and booking through invoicing.Assisting with return material requests as needed.Providing after-sales support to ensure customer satisfaction.Monitoring project progress and addressing potential issues proactively.Proposing process improvements and implementing corrective actions effectively.Analyzing risks and opportunities to optimize outcomes.

Requirements:

A high sense of urgency and the ability to act proactively. The ability to anticipate customer needs and go above and beyond by providing exceptional service. Leverage customer insights to guide the development of new offerings and improvements.

Delivering messages clearly, timely, and concisely. Actively listening to others and confirming understanding to build and nurture strong relationships.Holding strong analytical skills and using available information to make suggestions and take decisions.Acting promptly and effectively on changing situations. Showing initiative in challenging circumstances and seeking out opportunities for improvement.
