About the Role

We are seeking a highly skilled and experienced Meeting Planner to join our team at American Express Global Business Travel. As a Meeting Planner, you will be responsible for planning and executing successful meetings and events that exceed our clients' expectations.

Key Responsibilities
  • Plan and coordinate all aspects of meetings and events, including venue selection, catering, audiovisual equipment, and transportation.
  • Work closely with event owners to determine meeting logistics, including room setup, food and beverage needs, and audiovisual equipment requirements.
  • Manage vendor relationships, including ground transportation companies, destination management companies, and drayage.
  • Provide estimates to event owners to help create budgets and manage program costs to stay within approved budgets.
  • Alert event owners if program costs are in danger of exceeding budget and receive proper approval to increase budget when necessary.
  • Continually look for areas to negotiate further and drive cost savings for items added after venue contract is negotiated.
  • Determine program needs for online registration, including site content and data capture.
  • Lead event owners through the process of reviewing site content to ensure accuracy before site launch.
  • Assist event owners with communication to attendees, driving them to the registration site.
  • Manage logistics with venue staff, including ensuring correct room setup, meals, and audiovisual equipment.
  • Oversee vendor performance, including ground transportation, DMC, entertainment, and AV.
  • Staff registration desks to answer questions, direct attendees, and act as a resource for event staff.
  • Act as a single point of contact for venue staff.
  • Review all invoices received to ensure program costs are charged correctly and handle any discrepancies directly with venue/vendor.
  • Manage client payment requirements as defined per program or account.
  • Provide event owners with necessary reports, including pre-event reports from online registration tools and post-event reports on program cost savings.
Requirements
  • At least 5-7 years of past meeting planning experience.
  • CMP (Certified Meeting Professional) certification desired.
  • 4-year degree preferred.
  • Ability to communicate effectively and professionally with all levels of management and clients.
  • Appearance must always be neat and professional.
