Job Overview

This role encompasses a variety of administrative tasks, including the preparation and evaluation of intricate reports, gathering information from diverse sources, managing small-scale projects, and conducting analyses utilizing various software tools. The position may also involve overseeing the work of others and offering guidance to less experienced staff members. General office responsibilities include word processing, data entry, document auditing, answering telephone inquiries, distributing correspondence, reserving meeting spaces, coordinating appointments, and performing other assigned duties. Regular interaction with confidential materials is expected.

Key Responsibilities:
- Conduct thorough reviews of various documents such as commercial invoices, international shipping documents, and bills of lading to ensure accuracy and completeness.
- Investigate and rectify discrepancies arising from incorrect pre-advice information.
- Compile and archive shipping documents (both paper and electronic) to adhere to governmental regulations.
- Prepare detailed reports and presentations.
- Utilize various software applications and databases (e.g., MS Access) for analysis.
- Provide advanced office support through knowledge and skills.
- Prepare and/or coordinate information for both internal and external stakeholders.

Required Qualifications:
- High School Diploma, GED, or equivalent international qualification.
- Preferred: 2+ years of experience in office or warehouse support.
- Strong analytical abilities, effective oral and written communication skills, problem-solving aptitude, attention to detail, and time management capabilities.
- Proficient in Microsoft Office Suite (Word, Excel, Access, and Outlook).
- Quick and accurate data entry skills.

- Bachelor's degree in Business, International Relations, Administration, or a related field (candidates with flexible schedules, interns, or those with incomplete degrees are welcome).
- Intermediate English proficiency (capable of maintaining a conversation).
- Flexible availability required.

Responsibilities Include:
- Providing customer assistance and guidance.
- Preparing quotes.
- Cash handling.
- Loading and unloading packages.
- Availability and/or experience in conducting sales prospecting via phone and in-person.

Work Schedule:
- Monday to Friday from 2 PM to 7 PM and Saturdays from 9 AM to 2:30 PM.
